The right candidate will be detail-oriented, organized, and proactive, with experience supporting cross-functional projects and maintaining documentation to ensure smooth execution from sales order confirmation to final product delivery.
Summary:
The Project Coordinator will assist in coordinating all phases of nutraceutical manufacturing projects while maintaining clear communication between departments. This role supports both the Project Manager and Director of Sales, helping to manage project timelines, track progress, and ensure documentation accuracy. The ideal candidate will be driven, adaptable, and eager to grow within a fast-paced, regulated manufacturing environment.
Duties:
Assist the Project Manager in coordinating project execution after sales order confirmation. Maintain and update project timelines, schedules, and deliverables. Track project progress and communicate updates to internal teams. Liaise between the Sales Team and internal departments to ensure clear translation of client requirements. Follow up on pending approvals, feedback, and other client-facing tasks. Coordinate communication between Purchasing, Graphic Design, Production, Packaging, QA/QC, and Shipping. Ensure artwork, materials, and documentation are submitted, reviewed, and approved on time. Maintain organized project records, including specifications, approvals, and production documents. Prepare reports, spreadsheets, and project summaries for management. Identify potential bottlenecks and communicate issues to management promptly. Follow up with departments to ensure tasks remain on schedule. Requirements /
Qualifications:
Associate or bachelor's degree in business, Project Management, Communications, or related field. 1-3 years of experience in project coordination, preferably in nutraceutical, pharmaceutical, food manufacturing, or consumer goods industries. Strong organizational and multitasking skills with exceptional attention to detail. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project management tools (e.g., Monday.com, Asana). Ability to perform effectively in a fast-paced, deadline-driven environment. Bilingual (English & Spanish) required.
