This role requires strong communication skills, attention to detail, urgency, professionalism, and the ability to stay organized while handling multiple tasks at once. The ideal candidate is highly motivated, customer-focused, process-oriented, and understands the importance of creating an exceptional homeowner experience. Key ResponsibilitiesLead Management & Coordination Manage inbound HVAC sales leads from phone calls, web inquiries, financing leads, maintenance customers, and technician-generated opportunities Schedule in-home sales appointments for Project Managers Coordinate appointment routing and scheduling efficiency Confirm appointments with homeowners Maintain accurate lead statuses and notes within CRM/ServiceTitan Track pending estimates and follow-up opportunities Customer Communication Deliver exceptional customer service during every interaction Follow up with homeowners regarding estimates, financing, scheduling, and next steps Help maintain high customer satisfaction throughout the sales process Build trust and confidence with homeowners through professional communication Sales Support Assist Project Managers with administrative and operational support Monitor unsold estimates and coordinate follow-up efforts Help maximize lead conversion opportunities Ensure accurate documentation and job information is entered into the system Coordinate communication between sales, install, and office teams Operational Excellence Maintain organized records and detailed customer notes Ensure accuracy in customer information, equipment selections, and scheduling details Help identify process improvements to increase efficiency and close rates Maintain a sense of urgency while balancing multiple priorities QualificationsPreferred Qualifications HVAC industry experience preferred Experience with ServiceTitan or CRM systems preferred Strong customer service and communication skills Highly organized and detail-oriented Ability to multitask in a fast-paced environment Positive attitude and team-player mentality Strong phone and computer skills Sales coordination or dispatching experience is a plus What We're Looking For Someone who genuinely cares about customers A strong communicator with professionalism and confidence A motivated individual who takes ownership and accountability Someone who thrives in a high-performance culture A person who wants long-term growth and opportunity Compensation & Benefits Competitive hourly pay Performance bonuses and incentives Paid holidays Paid time off Career advancement opportunities Ongoing training and development Supportive team environment
