In-office only (Plant City, FL)•this is not a remote position Position Overview All Florida Mechanical Services is looking for a Parts/Warranties Coordinator•Sales Admin to join our growing team. This position plays an important role in supporting our Account Managers, Service Admin Team, Dispatchers, and Technicians by helping manage quoted repairs, parts ordering, warranty processing, customer setup, preventative maintenance entries, permits, and administrative support. The ideal candidate must be organized, detail-oriented, dependable, and able to communicate effectively with vendors, Account Managers, Dispatchers, Technicians, and customers when needed. Key Responsibilities Run daily reports on all pending quoted repairs. Notify each Account Manager of quotes that need to be completed and sent out. Assist Account Managers with parts pricing, availability, and quote preparation as needed. Help prepare quotes and send them to Account Managers for customer approval. Once quotes are approved, order parts and confirm they are being shipped to the correct location or placed on will call. Receive parts when they arrive at the office, confirm accuracy, and notify the Account Manager and Dispatcher. Help ensure approved repairs/jobs are scheduled as quickly as possible once parts are received. Manage warranty parts from start to finish. Order warranty parts and track warranty credits to ensure they are received. Communicate with Technicians regarding any parts that need to be returned for warranty credit. Begin, track, and follow up on warranty claims until completed. Issue purchase orders to Account Managers. Enter new customers into FieldEdge. Enter new Preventative Maintenance agreements into FieldEdge. Pull permits for Account Managers as needed. Handle NOC's and file liens when required. Work closely with the Service Admin Team to answer incoming phone calls when Dispatchers are on calls, out to lunch, or when the office is short staffed. Assist with other administrative duties as needed. Qualifications Knowledge of the HVAC industry. Strong organizational and follow-up skills. Ability to multitask in a fast-paced office environment. Excellent communication skills, both written and verbal. Strong attention to detail and accuracy. Ability to work well with Account Managers, Dispatchers, Technicians, vendors, and customers. Experience with FieldEdge or similar service software is a plus. HVAC, construction, service, parts, warranty, or dispatching experience is preferred but not required. Must be dependable and able to work in office Monday through Friday. Work Environment This is a full-time, in-office position. The Parts/Warranties Coordinator•Sales Admin will work closely with the Sales Admin Team, Service Admin Team, Account Managers, Dispatchers, and Technicians to help keep quoted repairs, parts, warranties, and customer information moving efficiently. Schedule Monday through Friday 8:00 AM•5:00 PM 1-hour lunch
