Role:
VulcanForms is seeking a Sales Operations Specialist to support the commercial processes behind its growing, multi-vertical manufacturing business. This role will help transform existing proposal, order-management, and forecasting practices into repeatable, scalable processes. The Sales Operations Specialist will serve as the deal desk for a seven-person sales team, owning quote preparation, pricing coordination, pipeline data quality, forecasting visibility, and the handoff from closed opportunities to purchase orders. This is a hands-on position that requires strong follow-through, attention to detail, and the ability to work effectively with sales, engineering, finance, and operations teams. The position reports to the Senior Director of Commercial Operations.
Key Responsibilities:
  • Serve as the commercial team?s deal desk, managing quote intake, preparation, pricing review, and approval routing
  • Prepare and issue customer quotes, including complex and non-standard product configurations
  • Collect cost and margin inputs from engineering and finance and prepare pricing recommendations for approval
  • Maintain quote templates, product structures, and pricing rules
  • Track quote turnaround times against established targets
  • Facilitate the weekly and quarterly forecast process with business unit owners
  • Drive forecast contributors toward committed, accurate, and timely submissions
  • Own forecast reporting and visibility by collecting, consolidating, and sharing data through commercial systems
  • Establish pipeline data-quality standards and audit records for accuracy and completeness
  • Track quota attainment and supply attainment data for Finance
  • Own the transition from quoted and won opportunities to purchase orders, coordinating across commercial and operations teams
  • Manage customer follow-through, including order status updates, expediting, and follow-up activities
  • Escalate early when a delivery commitment or customer expectation is at risk
  • Enforce commercial data standards for opportunity stages, required fields, record ownership, and account hygiene
  • Document current commercial workflows and identify process friction points
  • Translate identified issues into a prioritized list of process improvements
  • Represent the commercial team on cross-functional initiatives as needed
  • Support the development of scalable commercial processes as the business grows
Qualifications:
  • Four or more years of experience in sales operations, commercial operations, or a comparable commercial support role
  • Direct experience owning a quoting or deal desk process for configured, engineered, or non-catalog products
  • Experience managing a forecast process with business or sales leaders
  • Demonstrated ability to hold contributors accountable to data-quality and reporting standards
  • Advanced Excel skills
  • Working proficiency in Salesforce as a power user
  • Experience with an ERP system, such as Epicor, in a commercial or order-management capacity
  • Background in manufacturing, industrial products, or engineered-to-order businesses
  • Strong organizational skills and consistent follow-through on operational commitments
  • Ability to work independently without requiring extensive day-to-day oversight
  • Strong written and verbal communication skills
  • Credibility and effectiveness when working with sales professionals, engineers, finance partners, and operations teams
