July 2026 Position Summary The Bid/Sales Coordinator supports the sales and estimating team from the initial customer inquiry through bid submission, follow-up, project award, and handoff to Operations. The position also assists with business development by maintaining customer relationships, identifying opportunities, and coordinating outreach. After a project is awarded, production scheduling and field-preparation responsibilities transfer to the Operations Project Coordinator. Customer and Business Development Support
  • Answer incoming calls and direct them to the appropriate department.
  • Gather contact, location, scope, and timing information from prospective customers.
  • Contact general contractors to request placement on bid-invitation lists.
  • Assist with vendor registrations and prequalification forms.
  • Research potential projects and upcoming bid opportunities. Bid Tracker Management
  • Add new opportunities to the bid tracker with the project, customer, GC, contact, work type, walk-through date, bid deadline, assignment, submission method, follow-up date, and status.
  • Update the tracker when deadlines, assignments, or project information changes.
  • Track opportunities as new, estimating, submitted, pending, awarded, lost, postponed, or canceled. Create the job folder and upload bid documents (and RFIs as needed) to the ERP system. Walk-Throughs and Bid Scheduling
  • Schedule project walk-throughs and pre-bid meetings as per assignments from Bid Tracker.
  • Coordinate availability with the customer, salesperson, and estimator.
  • Add walk-throughs, questions deadlines, and bid due dates to the shared calendar & individual calendar.
  • Communicate changes promptly and remind assigned team members of approaching deadlines. Estimating and Proposal Support
  • Organize plans, specifications, photographs, surveys, and walk-through notes.
  • Assign opportunities to the appropriate salesperson or estimator as directed.
  • Assist with estimates, proposals, cover letters, scopes of work, and bid forms.
  • Help obtain vendor or subcontractor pricing when requested.
  • Proofread proposals and confirm required forms and addenda are included.
  • Submit approved proposals by email or customer portal and save the final submission record.
  • Request Bid Bonds or additional documents as needed. Bid Follow-Up
  • Confirm receipt of submitted proposals with customers or general contractors.
  • Record follow-up activity and expected award dates in the bid tracker.
  • Forward customer questions and revision requests to the salesperson or estimator. Continue appropriate follow-up at defined intervals — for example, 24 hours after submission and again at two weeks — until the opportunity is awarded or lost. Award and Operations Handoff
  • Obtain written award confirmation when available and notify Sales and Operations.
  • Provide Operations with the final proposal, approved scope, contacts, plans, photographs, walk-through notes, addenda, award notice, and important customer requirements.
  • Assist with an internal handoff meeting when needed. Additional Administrative Responsibilities
  • Prepare weekly sales reports identifying upcoming bids, estimates scheduled for submission, outstanding bid follow-ups, and projects awarded during the previous week.
  • Attend operations and scheduling meetings to provide information about newly awarded projects and assist with an organized handoff from Sales to Operations.
  • Gather missing customer, project, scope, and contact information needed for newly awarded projects.
  • Monitor shared online-inquiry and sales email accounts and route requests to the appropriate team member.
  • Help improve bid scheduling, sales documentation, project setup, and the handoff of awarded projects to Operations.
  • Assist with answering incoming telephone calls and directing callers as needed.
  • Assist with prequalification packages, vendor registrations, bid submittals, and supporting documentation.
  • Coordinate travel arrangements for sales, estimating, and management team members when requested.
  • Provide general administrative support to the sales and estimating team.
  • Perform other related duties as assigned. Qualifications
  • Experience in sales support, estimating, construction, environmental services, or project coordination preferred.
  • Strong telephone, customer-service, organization, and communication skills.
  • Ability to manage multiple opportunities and deadlines.
  • Proficiency with Outlook, Excel, Word, shared calendars, electronic files, and bid portals.
  • Comfort contacting customers and reviewing basic scopes, plans, specifications, and bid instructions.
Preferred Qualifications Experience in construction, environmental, abatement, or a related trades and services industry. Familiarity with public and municipal bidding requirements, including DCAMM certification, prevailing wage, and WBE participation. Experience with bid-management and CRM tools such as Smartsheet, BuildingConnected / Bid Board Pro, or similar systems. Bilingual English/Spanish (beneficial but not required).   • New leads and bid opportunities are recorded promptly.
  • Customer and prospect follow-ups remain current.
  • Walk-throughs and bid deadlines are scheduled accurately.
  • Salespeople and estimators receive complete project information.
  • Approved proposals are submitted on time and followed up professionally.
  • Awarded projects are transferred to Operations with complete information.
