This is not a passive administrative role. You are the hub—the person who helps keep things aligned and moving forward across customers, vendors, and the internal team. This role requires discipline and organization, along with the ability to work with people in a steady, practical, and easy-to-work-with way. You'll be following up, asking questions, and keeping things on track in a manner that your coworkers appreciate. Responsibilities Sales Coordination Own follow-up with customers to keep opportunities progressing Track next steps, timing, and ownership for all opportunities Maintain accurate CRM (Zoho) records Manage proposal workflow (inputs, reviews, and delivery) Identify stalled opportunities and take action early Purchasing & Project Support Enter and manage project data Purchase parts and track delivery commitments Proactively follow up on critical components Coordinate with engineering and project team on priorities and changes Communicate with suppliers and resolve issues Service Coordination Manage incoming service requests and scheduling Ensure clear communication before, during, and after service Track service work to completion Ensure documentation and billing are accurate What Success Looks Like Opportunities and projects move forward without getting stuck Customers are informed and know what to expect Critical items are tracked and followed up without being missed Issues are identified early and addressed proactively Work is completed accurately, efficiently, and on time Team members rely on you because things stay organized and moving Communication is clear, steady, and productive Processes and tools improve over time—not just maintained In Summary This role is a great fit for someone who likes being in the middle of things, enjoys working with people and keeping teams aligned, takes pride in staying organized and following through, gets energized by improving how work gets done, and naturally looks for better tools, better systems, and better ways—including using AI.
