Job Description

About the Role Indian Head Resort is looking for an organized, energetic Sales Coordinator to support our events and group sales team. From mountainside wedding ceremonies to ski club weekends, themed resort nights, and fall foliage tour groups, our calendar stays busy year-round, and we need someone who can keep the details straight while creating a great experience for every guest and group. This role is perfect for someone who loves hospitality, thrives on organization, and enjoys juggling multiple events without losing their smile.
Please note:
this role requires weekend availability, especially during our fall wedding season (August-mid-October) and winter ski season. What You'll Do Serve as the first point of contact for wedding, ceremony, and group inquiries , via phone, email, and in-person tours Sell weddings and group functions Coordinate logistics for weddings and ceremonies, room blocks, and event timelines Booking for ski groups, club trips, and season-specific packages Help plan and promote resort theme nights and seasonal on-property events Manage group reservations and travel packages for fall foliage tour groups and motorcoach visitors Prepare contracts, banquet event orders (BEOs), proposals, and invoices Maintain accurate records in the resort's booking/CRM system Coordinate with front desk, kitchen, housekeeping, and activities teams to ensure smooth event execution Conduct property tours for prospective wedding couples and group planners Assist with marketing outreach to travel agencies, tour operators, and wedding planners Oversee events on-site from start to finish, remaining on property for the entire duration of the event day to monitor execution and ensure guest satisfaction What We're Looking For 5+ years experience in weddings and group sales, event coordination, and customer service Excellent verbal communication skills and ability to sell Someone who is self-sufficient Excellent organizational skills and attention to detail Strong written and verbal communication skills, with a strong attention to proper spelling and grammar Comfortable managing multiple projects and deadlines at once Proficiency with Microsoft Office/Google Workspace; CRM or event software (Tripleseat or similar) experience a plus Availability to work weekends is required, particularly August through mid-October and throughout the winter ski season
