Visit us at www.depalmahotels.com Position Summary We are seeking an organized, professional and service-oriented Hotel Sales Coordinator to support the Sales team at Delta Hotels by Marriott Somerset. This position provides essential administrative, client-service and sales support throughout the sales process. The Sales Coordinator assists with incoming leads, proposals, contracts, group room blocks, rooming lists, client communication, sales reporting, meeting and event information, and coordination between the Sales team and hotel operating departments. This is an excellent opportunity for someone who wants to develop a career in hotel sales while gaining hands-on experience with group rooms, meetings, catering, events and Marriott sales processes at a large full-service hotel. Responsibilities Provide day-to-day administrative and sales support to the hotel Sales team. Respond professionally and promptly to telephone calls, emails and general sales inquiries. Assist with incoming sales leads and ensure inquiries are routed to the appropriate sales team member. Prepare proposals, contracts, correspondence, presentations and other sales documents as assigned. Maintain accurate client, account, group and event information in applicable hotel sales systems. Assist with establishing and maintaining group room blocks. Process and track rooming lists, reservations, group changes and other group-related information. Monitor group pickup and communicate relevant changes or concerns to the Sales team. Assist with preparing group resumes, reports, event information and other internal communication documents. Coordinate sales information with Front Office, Reservations, Banquets, Food and Beverage, Housekeeping and other hotel departments. Communicate professionally with meeting planners, corporate clients, social-event clients and other hotel customers. Assist clients with routine questions regarding guestrooms, meeting space, food and beverage, hotel amenities and event arrangements. Maintain organized electronic and physical sales files and records. Assist with weekly and monthly sales reports, account activity reports and other required sales documentation. Help maintain accurate account and contact information. Assist with prospecting research, lead generation and account-development activities as assigned. Support hotel tours, site inspections and client visits. Prepare sales collateral, meeting materials, welcome materials and other client-facing documents. Assist with Marriott sales programs, systems and reporting requirements as assigned. Help track deadlines, deposits, signed agreements, rooming lists and other required client documentation. Assist with coordination of meetings, groups and special events before arrival. Communicate changes and special requests accurately to the appropriate hotel departments. Participate in Sales meetings and maintain follow-up items as assigned. Maintain confidentiality of hotel rates, contracts, client information and business records. Provide professional service to internal and external customers. Assist with special projects and other reasonably related Sales department duties as assigned. Qualifications The ideal candidate is highly organized, professional and comfortable communicating with clients while managing detailed administrative work. Strong follow-through, accuracy and the ability to manage multiple deadlines are essential. Required High school diploma or equivalent. Strong organizational and administrative skills. Excellent verbal and written communication skills. Professional telephone and email communication skills. Strong attention to detail and accuracy. Ability to manage multiple priorities and deadlines. Proficiency with Microsoft Outlook, Word and Excel. Ability to learn hotel sales, reservation and property-management systems. Strong customer-service skills and professional demeanor. Ability to work effectively with multiple hotel departments. Dependable attendance and punctuality. Ability to appropriately handle confidential client and business information. Preferred Previous hotel sales, catering, events, reservations or front-office experience. Previous Sales Coordinator or hotel administrative experience. Experience in a full-service hotel, conference hotel or hotel with significant meeting and event space. Marriott-branded hotel experience. Familiarity with Marriott sales platforms such as CI/TY, SFAWeb, MarRFP or related Marriott systems. Experience with Delphi, Opera or comparable hotel sales, catering or property-management systems. Experience supporting group room blocks, rooming lists, meetings, catering or banquet events. Associate or bachelor's degree in hospitality, business, sales, marketing or a related field.
