Job Description
Sales & Operations Coordinator The Role at a Glance This role operates in close partnership with the VP, who leads strategic account acquisition and commercial direction. The Sales & Operations Coordinator is responsible for translating that commercial activity into precise, reliable execution by owning the full order lifecycle for retail clients, from purchase order management and inventory coordination through to on-time, on-spec delivery. You will serve as the primary operational point of contact for onboarded retail accounts, working cross-functionally with our inbound, warehouse, and QC teams to ensure every commitment made to a customer is met with consistency and professionalism.
Hours of Works:
Monday to Friday, from 8am to 5pm, with flexibility to meet operational requirements. Key Responsibilities Sales Support & Account Coordination Support the VP in sourcing, onboarding, and growing retail accounts. Process and manage purchase orders for all retail and new client accounts, ensuring accuracy, timeliness, and alignment with pricing and availability Act as the primary day-to-day contact for onboarded retail accounts, answering queries, resolving issues promptly, and maintaining strong relationships Assist in preparing sales presentations, pricing sheets, availability reports, and promotional materials for buyer meetings Track account performance and flag discrepancies, shortfalls, or opportunities to the VP on a regular basis Operations & Inventory Coordination Monitor daily inventory levels across all retail programs and ensure product availability aligns with open orders and commitments Coordinate closely with the warehouse and QC teams to confirm product readiness, quality compliance, and dispatch timing Act as the communications link between the sales function and warehouse/QC teams, translating sales requirements into clear operational instructions Manage order lifecycle from PO receipt through confirmation, picking, QC sign-off, and final dispatch Proactively flag potential supply issues such as weather impacts, volume shifts, quality concerns and work with internal teams and the VP to find solutions before they reach the customer Logistics & Documentation Coordinate outbound logistics, working with carriers and 3PL partners to ensure on-time delivery to retail DCs and store-direct accounts Maintain accurate records of all orders, shipments, returns, and credits using our internal systems Support claims management and dispute resolution for shorts, rejections, or quality issues in collaboration with the logistics and QC teams Assist with retailer-required documentation including label compliance, food safety certifications, and delivery scheduling windows Market & Business Development Support Assist in onboarding new accounts, coordinating samples, completing new vendor paperwork, and setting up operational protocols for new relationships Maintain a working knowledge of seasonal availability, crop calendars, and market pricing to support buyer conversations and opportunistic sales Attend relevant trade shows and industry events as part of your own development and to support the VP's sales efforts What We're Looking For Essential 2-5 years of experience in the fresh produce industry, in a role that spans ideally both commercial and operational functions Solid understanding of the retail produce supply chain. Experience managing or coordinating purchase orders, inventory tracking, or account administration in a produce or fresh food environment Strong communicator that is comfortable building relationships with retail buyers, warehouse staff, and logistics partners alike Highly organised with the ability to manage multiple accounts and open orders simultaneously without dropping detail Proficient in Microsoft Excel and comfortable working in order management or ERP systems A self-starter who takes ownership and follows through, this is not a role that will be micromanaged Strongly Preferred Direct experience selling to or working with grocery retail accounts (specialty, natural, or conventional) Familiarity with PACA regulations, USDA grading standards, or DRC compliance Existing knowledge of mid-Atlantic or northeast retail produce market dynamics Experience working in a growing, entrepreneurial business, so comfortable with ambiguity and building processes as you go The Right Personality Driven and commercially minded - you want to grow into a full sales role and see this position as your launchpad Detail-oriented and dependable A team player who can also operate independently, you'll have support, but you'll own your lane Genuine passion for fresh produce and food, you care about quality and it shows Career Development & Growth This role has been built with upward mobility in mind, with the logical next step for the right individual is a Sales Manager or Key Account Manager role, taking full ownership of a portfolio of retail relationships with P&L accountability. You will have direct exposure to every element of the commercial produce operation, from grower supply through retail execution.
