Job Description

The Sales Specialist is responsible for supporting the Engineered Systems Sales organization through sales operations, customer support, business analytics, process improvement, and strategic coordination. This position serves as a key liaison between Sales, Marketing, Engineering, Customer Service, Manufacturing, and Distribution to improve operational efficiency, enhance the customer experience, and drive sales growth. The Sales Specialist exercises independent judgment, manages multiple priorities, coordinates complex projects, and provides operational support to Sales Management while serving as a subject matter expert for sales processes and systems. Additionally, this position serves as a backup to the Engineered Systems Coordinator and assists with manufacturing item requests as needed. Essential Responsibilities 1. Sales Operations & Business Support Support the Engineered Systems Sales Team through sales operations, administrative coordination, and customer service activities. Support Sales Management by extracting, analyzing, and reporting data from internal systems to enable informed decision-making and the successful execution of short- and long-term sales strategies and initiatives. Manage incoming customer and distributor communications through telephone, email, and other correspondence. Prepare sales submittals, assist with proposals, presentations, and sales-related correspondence. Assist with the preparation of product price pages and configurator support. Maintain knowledge of distributor territories, market segments, customer assignments, and sales channels to ensure proper customer support. Participate in sales meetings and assist with planning and execution of departmental objectives 2. Customer & Distributor Relations Develop and maintain professional relationships with customers, distributors, consulting engineers, contractors, and internal business partners. Support the Inside Sales team by assisting with inquiries related to order status, shipment schedules, pricing, and product availability using internal systems. Coordinate resolution of customer issues by working collaboratively with Engineering, Customer Service, Manufacturing, and Logistics. Promote exceptional customer service through timely communication and proactive problem resolution. Coordinate distributor visits, customer meetings, and sales support activities. Maintain the Company's professional reputation through positive customer interactions. Establish and maintain professional relationships with customers, distributors, marketing professionals, and external business contacts. Promote customer satisfaction through responsive service and effective communication. 3. Training, Events & Marketing Support Assist with planning and coordinating distributor training programs, sales schools, and educational events. Coordinate travel arrangements, lodging, meals, transportation, and event logistics for training programs and distributor meetings. Assist Sales Management and Academy personnel with event preparation and execution. Support factory visit planning and coordination, including scheduling and logistical arrangements. Attend trade shows, promotional events, and distributor meetings as assigned. Assist with promotional and educational programs designed to support sales growth and customer engagement. 4. Sales Analytics & Reporting Maintain sales-related reports, records, and supporting documentation. Support Sales Management by extracting data for sales forecasting, budgeting, territory planning and annual business planning activities from internal systems. Support Sales Management by extracting and analyzing data from internal systems to identify market trends, evaluate sales performance, and uncover opportunities to improve sales effectiveness Process and distribute incoming and outgoing mail and correspondence. Perform administrative functions including correspondence, recordkeeping, data entry, and document management. 5. Project Coordination, Collaboration & Communication Collaborate with district managers, sales personnel, engineering, manufacturing, and other departments to support customer and business needs. Coordinate activities and communications between internal departments and external customers. Obtain and communicate information necessary to facilitate timely decision-making and issue resolution. Keep management informed of departmental activities, customer concerns, and significant developments. Provide support and assistance to team members and other departments as needed. Serve as backup support for the Engineered Systems Coordinator position, including assistance with manufacturing item requests. 6. Continuous Improvement & Professional Development Serve as a subject matter expert for CRM, ERP, Power BI and internal systems. Stay informed regarding developments in sales, marketing, customer service, and industry trends affecting company operations. Participate in training and professional development opportunities to enhance job knowledge and effectiveness. Submit recommendations and improvement suggestions in accordance with company continuous improvement procedures. Assist with special projects and initiatives as assigned. Maintain a clean, organized, and secure work environment. Education & Certifications Associate degree in Business, Marketing, Communications, or related field required. Additional sales, marketing, customer service, or administrative training preferred. Experience Minimum of two (2) years of administrative, sales support, customer service, or related experience. Experience supporting sales, marketing, or distributor networks preferred. Knowledge & Skills Proficiency in Microsoft Office applications including Word, Excel, Outlook, PowerPoint, and database systems. Strong organizational and administrative skills. Excellent written and verbal communication abilities. Strong customer service and interpersonal skills. Ability to prioritize multiple tasks and manage competing deadlines. Attention to detail and accuracy in preparing reports, quotations, and correspondence. Ability to maintain confidential and sensitive information. Ability to work independently and collaboratively in a team environment. Knowledge of sales processes, distributor relationships, and customer support functions preferred.
Work Environment & Physical Requirements Strength & Stamina:
Primarily a sedentary office position requiring extended periods of sitting and computer use. Occasional lifting or carrying of materials weighing up to 20 pounds may be required.
Mobility & Dexterity:
Frequent use of computers, telephones, and office equipment. Regular reaching, grasping, filing, and movement throughout office areas. Occasional travel within company facilities may be required.
Endurance:
Ability to manage multiple priorities, maintain attention to detail, and perform administrative and customer support duties in a fast-paced environment.
Vision & Hearing:
Requires close visual acuity to review reports, correspondence, and computer screens. Normal hearing and verbal communication abilities are required for interaction with customers, distributors, employees, and management.
Environmental Conditions:
Work is primarily performed in a climate-controlled office environment with standard lighting and noise levels. Occasional attendance at manufacturing facilities, customer locations, training events, or trade shows may be required.
Safety & Hazards:
Minimal hazards in the office environment. Compliance with all company safety policies and required PPE is expected when entering manufacturing or operational areas.
Work Schedule:
Standard business hours with flexibility as needed to support customer requirements, sales activities, training events, travel, trade shows, and special projects.
