Job Description

Group Sales Coordinator Job Summary The Group Sales Coordinator provides administrative, operational, and customer service support to ensure the successful coordination and execution of group business. This role serves as a liaison between all third-party clients, internal and hotel departments, ensuring all group arrangements are communicated accurately and delivered in accordance with contracted terms. The ideal candidate is highly organized, detail-oriented, customer-focused, and thrives in a fast-paced hospitality environment. Essential Duties and Responsibilities Sales & Administrative Support Provide administrative support for Group Sales Department, including internal & external correspondence, filing, scheduling, and document preparation. Prepare and distribute proposals, contracts and group resumes. Respond promptly and professionally to client inquiries. Support the sales process through communications, operations coordination and accounting reconciliation. Group Coordination Manage group room blocks, reservations, rooming lists, and special requests to ensure accuracy and compliance with contracted agreements. Coordinate group billing instructions, deposits, and payment schedules with clients and internal departments. Monitor group pickup, attrition, cut-off dates, and contractual deadlines. Prepare group resumes and distribute information to hotel stakeholders to ensure seamless event execution. Collaborate with on-site Event Coordinators during contracting process through to event conclusion. Client & Event Support Coordinate room block details with Operations, Front Office, Accounting and other departments. Ensure all client requirements, VIP requests, special requests are communicated accurately and in a timely manner. Maintain positive client relationships to encourage repeat business and customer loyalty. Reporting & Data Management Maintain accurate sales files, contracts, forecasts, and production reports. Assist with RFP responses, contract administration, and monthly sales reporting. Qualifications Education & Experience Associate's degree (or higher) in Hospitality Management, Business Administration, Marketing, or related field preferred. Minimum 3 years of hospitality, hotel sales, reservations, or administrative experience. Experience working with group sales, conventions, meetings, or special events. Knowledge, Skills & Abilities Strong customer service and relationship-building skills. Excellent written and verbal communication abilities. Exceptional attention to detail and organizational skills. Ability to prioritize tasks and manage multiple projects simultaneously. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, One Drive, SharePoint). Experience with hotel property management systems is preferred. Ability to work collaboratively across departments.
