This role sits at the intersection of sales, operations, and event execution , ensuring sponsorship deals are properly executed from signed agreement through event fulfillment. The ideal candidate is proactive, deadline-driven, and an exceptional communicator who can manage multiple moving pieces simultaneously while working in a remote environment. This is not a sales role — it is a critical coordination position that helps ensure sponsorships, activations, and client deliverables are executed accurately and professionally. Key Responsibilities Manage the full post-sale process once sponsorship or partnership agreements are finalized Coordinate contracts, signatures, and required documentation Partner with accounting to create, track, and manage invoices and payments Collect and organize client assets including logos, creative files, approvals, copy, and promotional materials Track sponsorship deliverables and activation requirements across multiple events Build and maintain project timelines to ensure deadlines are met Communicate consistently with internal teams, clients, vendors, and event staff Maintain organized records of contracts, invoices, payments, deliverables, and approvals Identify potential issues proactively and help resolve them before they impact execution Support sponsorship activations and client fulfillment on-site at events as needed Qualifications 2-5+ years of experience in project coordination, event coordination, sales support, sponsorship support, client services, or related roles Strong organizational skills and exceptional attention to detail Ability to manage multiple projects and deadlines simultaneously Excellent written and verbal communication skills Strong follow-up and time management skills Comfortable working independently in a remote environment Proficiency with Microsoft 365 tools including Outlook, Excel, Word, Teams, and PowerPoint Experience working with contracts, invoicing, or sponsorship deliverables preferred Event, entertainment, hospitality, or live music industry experience is a plus Adobe Creative Suite experience is a plus Must be willing and able to travel to events as required Ideal Candidate The ideal candidate is someone who: Thrives in fast-paced environments Is highly organized and detail-oriented Communicates clearly and proactively Takes ownership of projects from start to finish Can manage multiple priorities without losing track of details Enjoys both remote administrative work and live event environments Has a genuine passion for live events, festivals, music, and entertainment Compensation & Benefits Salary range: $65,000-$70,000 annually (based on experience) Remote work environment Event travel required; all approved travel expenses covered by the company Opportunity to grow within a rapidly expanding live events company Schedule Full-time Remote with travel Must be available for event weekends and occasional extended hours during show weeks Work Location Remote, with required travel to events throughout California, Arizona, and New Mexico.
Pay:
$60,000.00 - $70,000.00 per year
