Job Description
Newport Life Magazine Events & Sales Coordinator We're looking for an organized, outgoing, and sales-minded Events & Sales Coordinator to help bring our events to life—from the initial inquiry and planning stages through sales, coordination, and day-of execution. This is a hands-on role for someone who enjoys working with people, staying organized, selling experiences, and making sure all the details come together. You'll work closely with our team, clients, sponsors, vendors, and event partners to help grow our events business while delivering an excellent experience from start to finish. Key Responsibilities Event Planning & Coordination Assist with planning, coordinating, and executing private, public, and special events. Serve as a point of contact for clients leading up to events. Coordinate event details including timelines, layouts, vendors, rentals, staffing, entertainment, food and beverage, and other logistics. Maintain event calendars, timelines, checklists, and client information. Communicate event details clearly with internal teams and outside partners. Help identify and resolve potential issues before event day. Be present and hands-on for day-of event execution , including setup, vendor coordination, guest/client needs, troubleshooting, and breakdown. Ensure events are executed professionally, smoothly, and according to plan. Event Sales Respond to event inquiries and help turn leads into booked events. Conduct tours, calls, and meetings with prospective clients. Prepare event proposals, packages, pricing, and follow-up communication. Actively follow up with leads and maintain an organized sales pipeline. Identify opportunities to upsell event packages, experiences, add-ons, and services. Build relationships with past and prospective clients to encourage repeat business and referrals. Work toward event sales and revenue goals. Sponsorships & Partnerships Help identify and pursue potential event sponsors and brand partners. Assist with creating and selling sponsorship packages. Communicate with sponsors before, during, and after events. Coordinate sponsorship deliverables and make sure partners receive everything included in their package. Develop relationships with local businesses, organizations, and community partners. Vendors Help recruit and coordinate vendors for markets, festivals, special events, and other programming. Communicate vendor requirements, pricing, setup instructions, deadlines, and event-day information. Assist with vendor sales and outreach to increase participation. Maintain relationships with reliable vendors and event partners. Ticket Sales & Event Promotion Help drive ticket sales for public and ticketed events. Support promotional efforts, partnerships, outreach, and other initiatives designed to increase attendance. Track registrations, ticket sales, sponsorships, vendor participation, and other event revenue. Look for creative opportunities to increase event visibility, attendance, and revenue. What We're Looking For Highly organized with strong attention to detail. Friendly, confident, and comfortable communicating with clients and partners. Sales-minded and motivated by growing revenue and closing opportunities. Able to manage multiple events, clients, deadlines, and moving pieces at once. Strong written and verbal communication skills. Proactive problem solver who can think quickly when plans change. Comfortable making calls, following up with leads, and asking for the sale. Team player who is also capable of working independently. Comfortable working in a fast-paced, hands-on event environment. Available to work some evenings, weekends, and event days as needed. Previous experience in events, hospitality, sales, marketing, or customer service is preferred.
