Answer customer calls and respond to inquiries via phone and email. Enter customer orders received by phone, email, fax, or verbal request. Assist customers with product information using catalogs, manuals, internal databases, and team resources. Provide order status, shipping, tracking, delivery, and back-order updates. Help resolve customer complaints, service issues, and order related concerns. Coordinate with accounts receivable, invoicing, production, shipping, outside sales, and customer service teams. Review back-order information and stay current on product availability and delivery timelines. Issue Return Goods Authorization (RGA) forms as needed. Learn Profax Lenco products, catalogs, part numbers, order processes, Sage 100, Sage X3, and internal systems. Report safety concerns or potential safety issues to the appropriate department. Perform other related duties as assigned.
Salary Details:
$45,000 to $55,000 annually, depending on experience.
Work Week Details:
Full-time, on-site position. Monday through Friday, 8:00 AM to 5:00 PM.
Required Qualifications:
High school diploma or GED. Strong customer service skills. Professional phone etiquette. Excellent verbal and written communication skills. Accurate data entry and order entry abilities. Strong attention to detail. Ability to work in a fast paced, phone heavy customer service environment. Ability to handle customer questions, concerns, complaints, order changes, and follow up professionally. Proficiency with Microsoft Outlook and Microsoft Excel. Ability to understand and follow written and verbal instructions. Ability to communicate effectively with customers, coworkers, and internal departments. Self-motivated, dependable, team oriented, and willing to ask questions. Ability to speak, read, write, and understand English. Willingness to learn industrial products, catalogs, part numbers, Sage 100, Sage X3, and internal order systems.
Preferred Qualifications:
Prior experience in customer service, call center operations, order entry, inside sales support, dispatch, retail service, banking service, parts counter, or B2B customer support. Background in industrial products, manufacturing, distribution, warehouse, shipping, parts, equipment, or welding products. Experience with Sage 100, Sage X3, or similar ERP/order entry systems. Experience with shipping, tracking, back orders, invoicing, returns, or RGA processes. Prior inside sales support experience.
Physical Demands:
Continual sitting and computer use. Frequent use of hands and fingers for typing and data entry. Frequent talking and hearing by phone or in person. Continual visual attention to order details, product information, and computer screens. Occasional walking within the office or facility. Possible exposure to noise from nearby manufacturing or warehouse activity.
Background Requirements:
Candidates must pass a drug screen and background check. Convictions will be reviewed on a case by case basis and will not necessarily disqualify a candidate. After an offer or conditional offer is made, the employer may require a physical examination.
Interview Process:
Workforce Solutions will prescreen candidates for customer service experience, phone etiquette, order entry/data entry accuracy, communication skills, pace tolerance, teamwork, problem solving ability, and willingness to learn products and systems. Qualified candidates will be submitted to Profax for review. Selected candidates will interview with Profax HR and/or inside sales leadership.
