KEES is a Sheboygan County-based manufacturer of HVAC air-side products serving a nationwide network of approximately 250 independent sales representative firms across North America. Our products are specified into commercial, industrial, institutional, healthcare, laboratory, and specialty construction projects.
ABOUT THE ROLE
The Inside Sales Coordinator sits within the Inside Sales team and reports to the Inside Sales Manager. You'll work alongside a team of peers managing a shared portfolio of rep-firm relationships across the country. The job on the inside is to make those reps fast, informed, and hard to beat — and you're one of the people a rep counts on to get a quote turned around, a question answered, or an opportunity kept moving. Success here means balancing responsive quote support with proactive follow-up on the opportunities that matter. On any given day you'll process inbound quote requests with speed and accuracy, then reach out to reps about large open quotes and projects approaching a decision point. The work is fast-moving, priorities shift, and no two days look exactly the same.
What this role is not:
it isn't order entry, and it isn't a quota-carrying sales job. The rep wins the project; you help them win it. And when a question runs deeper than the routine — reading specs, configuring products, advising consulting engineers — that's the work of our Technical Applications Engineer, and part of your job is recognizing when to bring them in. KEES supports the role with modern tools: NetSuite for order and quote management, HubSpot for CRM and outreach, a SuiteCommerce platform that lets reps self-generate quotes online, and agentic AI that surfaces product recommendations and finds additional quoting opportunities in plans and specs
POSITION SUMMARY
Help reps serve customers and win projects Be a primary point of contact for independent sales reps across North America Build strong working relationships by being responsive, reliable, and knowledgeable Help reps with product selection, available options, and configurations on KEES's more straightforward products Develop working knowledge of KEES's broad product line — enough to guide reps, ask effective questions, and recognize when deeper technical support should be brought into the conversation Develop quotations and manage opportunities Manage a high volume of inbound quote requests and orders, primarily by email and secondarily by phone, with speed and accuracy Juggle many active quotes and opportunities at once without letting things slip Keep customer, project, and opportunity information clean and current in NetSuite and HubSpot Engage proactively Follow up on large and strategically important open quotes — asking where the project stands, who's bidding, and what it would take for KEES to win Initiate internal conversations about a quote when timing or pricing conditions call for it Use HubSpot to plan and execute both personal and technology-driven outreach to reps Spot chances to suggest an additional product or a better-fitting option (including via the AI agent) Coordinate and support Respond to rep and customer inquiries promptly and professionally Resolve routine product and order questions; escalate the complex ones Work across Sales, Engineering, Manufacturing Engineering, Operations, and Customer Service to keep things moving Reprioritize fluidly as requests, deadlines, and project developments shift
QUALIFICATIONS/SKILLS REQUIRED
Above everything else, curiosity. The best person in this seat doesn't just process the request in front of them — they want to know what the project is, why this product is being considered, what else the customer might need, and what stage the opportunity is in. We can teach the product line; we're looking for someone genuinely interested in the work.
Beyond that:
A track record of managing multiple concurrent tasks without letting things fall through the cracks Strong written and verbal communication — email is your primary medium A detail-oriented mindset; you understand the data you enter matters downstream Consultative instincts — you listen for what a customer actually needs, not just what they asked for Comfort with business software (you'll spend your day in NetSuite, HubSpot, and Outlook); prior CRM experience preferred Mechanical aptitude and a genuine interest in learning a technically diverse product line HVAC industry experience is a plus, not a requirement Backgrounds that tend to fit well: inside sales, customer support, quotations, or project coordination — especially at an HVAC manufacturer or rep firm, though distributor, industrial, or building-products inside sales translate well too.
