Group & Leisure Sales Coordinator Hotel Jackson is seeking a highly organized and service-minded Group & Leisure Sales Coordinator to support the Sales Manager with both group sales and luxury leisure travel advisor business. This role provides administrative, reporting, coordination, and follow-up support to help ensure group clients, luxury travel advisors, and VIP guests receive a polished and consistent experience. The ideal candidate is detail-oriented, proactive, professional, and comfortable working in a luxury hotel environment. This is a strong opportunity for someone who wants to grow within hotel sales. The right candidate will gain hands-on experience in group sales, luxury leisure travel advisor business, client communication, reporting, account management, and internal hotel operations, with the potential to grow into a Sales Manager position over time. Assist the Director of Sales with group inquiries, proposals, contracts, follow-ups, rooming lists, reports, and internal communication. Maintain organized group files, account notes, deadlines, traces, and client information. Support coordination of group arrivals, site visits, amenities, and special requests. Review and track Virtuoso and luxury travel advisor bookings. Maintain reports for travel advisor production, including agency, advisor, room nights, revenue, ADR, suite bookings, and length of stay. Prepare account details, research, and follow-up lists to support Sales Manager outreach to luxury travel advisors. Coordinate pre-arrival communication for Virtuoso and advisor-booked guests. Collect guest preferences, arrival/departure times, special occasions, dietary restrictions, dining/activity needs, and other important stay details. Share VIP notes and guest preferences with Front Desk, Concierge, Reservations, Housekeeping, and hotel leadership as needed. Help coordinate personalized amenities, handwritten advisor cards, and VIP recognition details. Flag high-value bookings, suite arrivals, long-stay guests, and upgrade opportunities for leadership review. Support proactive W-9 and commission tracking in partnership with Accounting. Assist with organizing materials for Virtuoso profile updates, advisor collateral, webinars, events, and marketing opportunities. Prepare daily, weekly, and monthly sales reports as requested. Help ensure important details are communicated clearly and followed up across departments. Previous hospitality, hotel sales, reservations, front office, events, or administrative experience preferred. Luxury hotel experience preferred but not required. Experience with group sales, travel advisors, Virtuoso, or VIP guest coordination is a plus. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Professional, polished, and service-oriented demeanor. Ability to manage multiple priorities and deadlines. Comfortable working with reports, guest details, client information, and confidential data. Proficiency with Microsoft Office, PMS, CRM, or hotel sales systems preferred. Ability to work collaboratively with Sales, Reservations, Front Desk, Concierge, Accounting, Housekeeping, and Operations. Interest in growing within hotel sales, account management, or luxury hospitality preferred. The ideal candidate is proactive, detail-oriented, and enjoys supporting both sales and guest experience. This role supports the growth of Hotel Jackson's group and luxury leisure business by helping the Sales Manager stay focused on revenue-generating relationships while ensuring important administrative and guest-service details are handled with accuracy and care.
