Overview We are seeking a highly organized and personable Scheduler to join our team. The ideal candidate will excel in managing appointments, coordinating schedules, and providing outstanding administrative support. This role is vital in ensuring smooth daily operations, effective communication, and excellent customer service for our clients and staff. Duties Coordinate and manage appointment schedules for caregivers, clients, and staff using various scheduling tools. Maintain accurate records of appointments, cancellations, and rescheduling activities with attention to detail. Utilize office management software such as QuickBooks, Microsoft Office, and Google Workspace to streamline scheduling processes. Serve as the first point of contact at the front desk, greeting visitors and answering multi-line phone systems with professionalism. Provide exceptional customer service by addressing inquiries promptly and courteously via phone or in person. Support office management tasks including filing, data entry, proofreading, and maintaining organized records. Assist with calendar management for staff and executives to ensure timely coordination of meetings and appointments. Handle clerical responsibilities such as typing correspondence, managing office supplies, and supporting bookkeeping activities. Qualifications Proven experience in office management or administrative roles within healthcare or similar settings. Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, QuickBooks, and data entry skills. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment. Effective phone etiquette skills with experience managing multi-line phone systems. Bilingual abilities are preferred to serve diverse client needs effectively. Prior experience as a medical or dental receptionist or personal assistant is advantageous. Demonstrated customer service skills with a friendly yet professional demeanor. Knowledge of office procedures such as filing, proofreading, calendar management, and bookkeeping is highly desirable. Pay:
$16.50 - $18.00 per hour
