Job Summary We are seeking a proactive and highly organized Scheduling Coordinator to join our dynamic team. In this vital role, you will manage appointment scheduling, coordinate calendars, and ensure smooth communication across departments. Duties Manage and coordinate appointment schedules using calendar management tools and software Maintain accurate records through data entry, filing, and proofreading of documents to ensure organizational clarity Provide exceptional customer service by assisting clients, visitors, and team members at the front desk or reception area Support office management tasks such as filing, organizing supplies, and managing correspondence using Microsoft Office and Google Workspace Assist with clerical duties including typing reports, updating databases, and supporting bookkeeping activities with QuickBooks or similar software Facilitate communication between departments by managing email correspondence and supporting administrative projects with strong organizational skills Skills Proven experience in office management or administrative roles with excellent organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Strong data entry skills with high accuracy; capable of proofreading documents effectively Experience handling multi-line phone systems and demonstrating professional phone etiquette Bilingual abilities are a plus to support diverse client needs and team communication Knowledge of clerical tasks such as filing, calendar management, and document proofreading Ability to prioritize tasks efficiently with excellent time management skills; capable of multitasking in a busy environment Previous experience in medical or dental receptionist roles is advantageous but not required; personal assistant experience is also valued Familiarity with bookkeeping software like QuickBooks or similar tools for basic financial tasks Join us as a Scheduling Coordinator where your organizational prowess and energetic attitude will drive operational excellence!
