Job Description

The Scheduler is responsible for coordinating caregiver schedules, ensuring accurate client visit coverage, and maintaining clear communication between caregivers, clients, and office staff. This is a fast-paced role with frequent phone Physical Requirements Prolonged periods of sitting at a desk and working at a computer. Must be able to lift 15 pounds at times.
Key Responsibilities:
Assign and adjust caregiver schedules daily to meet client needs and ensure full coverage. Monitor and track on-call issues, such as cancellations, early clock-outs, or missed visits, and take immediate action to resolve them. Maintain accurate records of caregiver hours, client visits, and schedule changes. Communicate proactively with clients, caregivers, and office staff to confirm schedules, notify of changes, and resolve issues. Ensure emails to offices are sent first thing in the morning to allow adequate time for client communication regarding replacements or visit adjustments. Respond promptly to frequent client and caregiver phone calls regarding scheduling issues, ensuring follow-through on all requests. Assist with new approvals, visit additions, and filling in gaps in the schedule as needed. Document all actions and communications related to scheduling for accountability and reporting purposes. Collaborate with the care coordination team to identify and prevent recurring scheduling issues.
Qualifications:
High school diploma or equivalent; associate degree preferred. Prior experience in scheduling, coordination, or administrative support preferred. Strong organizational and time management skills in a fast-paced environment. Excellent verbal and written communication skills; must be comfortable handling frequent phone calls. Ability to multitask and handle multiple urgent tasks simultaneously. Strong problem-solving skills and attention to detail. Familiarity with scheduling software and electronic records systems is a plus.
