Job Description

Job Summary:
•This is a full time, in-office position with frequent overtime and rotating weekends.•The Patient Scheduling/Staffing Manager plans, organizes, directs, and manages all aspects of the clinician staffing department. Provides leadership, guidance, and direction for day-to-day operations and administrative activities, including the authority to make regarding department operations, administration. Leads and/or contributes to the short-term and long-term strategic planning, design, development and implementation of department objectives, processes, and standards. Beyond scheduling, the manager provides leadership, problem-solving, and strategic staffing oversight.
KEY RESPONSIBILITIES
Manage daily staffing and scheduling for assigned geographic areas, and the areas of the team. Create and maintain clinician schedules based on referrals, authorizations, patient needs, and clinician availability. Organize and prioritize active patient schedules to ensure timely and compliant visits. Submit completed schedules by the end of each workday. Maintain and troubleshoot patient and staffing logs on a daily basis. Track, update, and post clinician availability, skills, and geographic coverage. Verify clinical competencies of the visiting staff as needed prior to assigning the task. Maintain accurate and up-to-date information in the EMR system. Build and maintain strong working relationships with field clinicians. Communicate clinical issues of the day to Clinical Supervisor if received from the visiting staff. Communicate effectively with nurses and patients to address scheduling issues and resolve conflicts. Provide accurate daily schedule updates and routing information to clinicians. Create efficient and logical nurse routes based on location and visit requirements. Report scheduling updates and issues to case managers, operations managers, and the Director of Nursing. Cover for other staff members on-call off days. Perform other duties as assigned to support operational needs
LEADERSHIP RESPONSIBILITIES
Lead and manage and support the scheduling team, ensuring optimal staffing coverage. Strategically plan schedules based on referral requirements and organizational priorities. Ensure all schedules are submitted daily, meeting deadlines. Proactively address and resolve staffing challenges. Foster strong relationships with clinicians, understanding their skills, availability, and geographical reach. Provide regular reports and updates to DPCS / Clinical Supervisor on site. Mentor and develop scheduling coordinators, ensuring high performance and growth. Ensure staffing aligns with both patient care excellence and operational goals.

In person Requirements High school diploma or equivalent Minimum of two years of experience as a Scheduling Manager; home health experience preferred.

High School Diploma/GED Strong phone and verbal communication skills with active listening. Bilingual English/Spanish preferred. Computer literate. Strong ability to multi-task, set priorities and manage time effectively. Superb customer service skills ? ability to handle diverse customers. Able to exercise independent judgment and initiative. Work with minimum supervision. Experience using Synergy EMR and/or other Electronic Medical Record databases is a plus. Motivated and fast orienting individual. Professional and responsible approach to work. Ability to work under high pressure and in a fast-paced environment. Flexible and fast learner. Problem-solving skills. Critical thinking and ability to use best judgment. Managerial, operational, and organizational skills.
