The Administrative Assistant for the Environmental Department provides clerical, administrative, and programming support to ensure the efficient operation of the Environmental Office. This position assists with communications, scheduling, recordkeeping, grant and procurement support, outreach coordination, and environmental program documentation. The ideal candidate is organized, detail-oriented, professional, and committed to supporting environmental stewardship and community services. Key Responsibilities:
Greet visitors, community members, vendors, and agency representatives in a professional manner. Answer and direct phone calls, emails, and inquiries for the Environmental Department. Manage calendars, appointments, meetings, and travel arrangements for department staff. Prepare, organize, and maintain department files, reports, correspondence, and confidential records. Assist with data entry, filing, document management, and office organization. Sort and distribute incoming mail and prepare outgoing correspondence and shipments. Prepare meeting agendas, minutes, announcements, and departmental notices. Assist staff with maintaining environmental program records and compliance documentation. Support grant reporting, procurement processes, purchase orders, and budget tracking. Help maintain records related to water systems, environmental monitoring, and EPA reporting requirements. Assist with scheduling training sessions, regulatory meetings, and community outreach activities. Support Earth Day events, environmental education activities, and tribal outreach programs. Assist with inventory tracking, supply ordering, and equipment documentation. Assist with invoice preparation, review, and submission for approval. Help track departmental expenditures and maintain accurate financial records. Assist employees with travel reimbursements and related paperwork. Support payroll-related documentation and timesheet collection. Maintain compliance with Tribal policies, procedures, and internal controls. Assist with environmental outreach events and community meetings. Attend tribal and non-tribal trainings, workshops, and meetings. Perform other related duties as assigned by the Environmental Director. Education/Requirements:
High school diploma or GED required; Associate's degree in Business Administration, Environmental Studies, or related field preferred. Minimum of three (3) years of administrative assistant experience or related experience preferred. Experience working in environmental, tribal government, public works, or grant-funded programs is a plus. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong verbal and written communication skills. Excellent organizational skills with the ability to multitask and meet deadlines. Ability to maintain confidentiality and handle sensitive information with discretion. Professional appearance and conduct. Valid California driver's license required. Eligibility to be added to the Tribe's insurance policy. Successful completion of background check and drug screening. Additional Information:
This position may require occasional evening or weekend work. Native American preference applies (25 U.S.C.S. 472 et seq.). The successful candidate will report to Environmental Director. Pay:
