Architectural & Environmental Assistant Position Type:
Full-Time Department:
Architectural & Environmental/Administration Position Summary The Architectural & Environmental Assistant provides administrative and operational support for the association's architectural review, environmental standards, and community compliance programs. This position works closely with homeowners, contractors, association management, Board members, and committee volunteers to help ensure that architectural applications, property modifications, and environmental matters are handled accurately, efficiently, and professionally. The ideal candidate is highly organized, detail-oriented, and customer-service focused. Essential Responsibilities Architectural Review Support Receive and process architectural and exterior modification applications submitted by homeowners. Review applications for completeness and ensure required plans, drawings, specifications, photographs, and other documentation are included. Enter applications and related information into association databases and tracking systems. Maintain accurate records of applications, approvals, denials, revisions, and correspondence. Coordinate application materials and meeting schedules with the Architectural & Environmental Committee and association management. Communicate with homeowners regarding missing information, application status, deadlines, and procedural requirements. Assist with scheduling inspections and documenting approved projects. Maintain organized electronic and paper files for architectural applications and related records. Provide general information to homeowners regarding association architectural guidelines and submission procedures. Administrative Support Maintain calendars, spreadsheets, databases, and tracking reports related to architectural and environmental activities. Prepare correspondence, notices, meeting materials, reports, and other documents. Assist with preparation of Architectural & Environmental Committee meeting agendas and materials. Attend A&E committee meetings and record action items. Monitor deadlines and follow up on outstanding applications, documentation, inspections, and homeowner responses. Scan, file, organize, and maintain association records. Assist with general office and administrative duties as needed. Provide backup support to other association administrative functions when appropriate. Homeowner & Contractor Communication Respond to homeowner and contractor inquiries by phone, email, and in person in a courteous and professional manner. Explain established association procedures and requirements clearly and consistently. Direct questions requiring management, committee, legal, engineering, or other professional review to the appropriate individual. Maintain a positive and service-oriented relationship with homeowners and contractors while consistently applying association policies and procedures. Help resolve routine questions and administrative issues in a timely manner. Qualifications High school diploma or equivalent required. Previous administrative, customer service, property management, HOA, construction, landscaping, environmental, or related experience preferred. Strong organizational skills and exceptional attention to detail. Excellent written and verbal communication skills. Ability to manage multiple assignments and deadlines. Proficiency with Microsoft Office, Google Workspace, spreadsheets, email, and standard office technology. Ability to learn HOA management software and internal tracking systems. Professional demeanor and ability to communicate effectively with homeowners, contractors, volunteers, and Board members. Ability to work independently while also functioning effectively as part of a team. Valid driver's license and reliable transportation Preferred Qualifications The following experience or knowledge is desirable but not required: HOA or community association management Architectural review or design administration Construction or permitting processes Landscaping or horticulture Environmental or natural-resource management Reading basic site plans, landscape plans, or architectural drawings Familiarity with HOA governing documents and architectural guidelines Key Attributes The successful candidate will be:

Compensation & Benefits Salary:
$18.00 - 20.00 hourly, depending on qualifications and experience.
