Job Description The Senior Records Specialist provides advanced support and serves as a subject matter expert in maintaining student records within their specialized area of expertise. This role offers comprehensive statewide support on state and federal guidelines, resolves complex issues, and aids in the development and training of front-line staff. Additionally, the Senior Records Specialist is responsible for unique processes such as graduation certification, reactivation of historical records, and transfer/articulation of credit, ensuring compliance with institutional policies and regulations.
Essential Functions:
    Core Values Demonstration:
    Demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.
      Subject Matter Expertise:
      Serve as a subject matter expert in a specialized area, providing advanced support for maintaining student records within their field of expertise.
        Guidelines and Compliance Support:
        Provide comprehensive statewide support on state and federal guidelines regarding student records maintenance and resolve complex issues related to student records.
          Staff Development and Training:
          Aid in the development and training of front-line staff, ensuring they are knowledgeable about procedures and compliance requirements.
            Unique Process Management:
            Accountable for unique processes such as reactivation of historical records, duplicate management, transfer/articulation of credit, and rectification of edits from the Texas Higher Education Coordinating Board and National Student Clearinghouse/National Student Loan Data System.
              Quality Assurance:
              Perform internal statewide quality assurance procedures to maintain the integrity and accuracy of student records.
                Technology Utilization and Implementation:
                Utilize various online platforms to maintain accurate academic records and support the testing and implementation of new software that impacts records management processes.
                  Policy Communication:
                  Possess a thorough understanding of college policies, procedures, and requirements, and effectively communicate them to the college community and stakeholders.
                  Requirements:
                  • May be required to take National Student Clearinghouse Training or Texas Higher Education Coordinating Board Reporting training due to responsibilities
                  Competencies:
                    Records Management:
                    Advanced proficiency in maintaining and organizing student records
                      Document Verification:
                      Expertise in verifying document authenticity according to guidelines
                        Issue Resolution:
                        Advanced skills in resolving complex discrepancies in student records
                          Collaboration:
                          Ability to collaborate effectively with departments to ensure compliance
                            Online Applications:
                            Proficiency in using and implementing online applications for record-keeping
                              Subject Matter Expertise:
                              Advanced knowledge in specialized areas such as graduation certification and credit transfer
                                Residency Requirements:
                                Understanding of residency requirements and ability to provide guidance
                                  Policy Communication:
                                  Ability to communicate college policies and procedures effectively
                                    Quality Assurance:
                                    Skills in performing quality assurance procedures Education/Experience/Knowledge/Skills
                                    • Associate's Degree Required, Bachelor's Preferred
                                    • Exceptional experience may be considered in lieu of educational requirements
