Job Description
Job Summary We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will serve as the backbone of our office operations, providing exceptional administrative support, managing communications, and ensuring smooth daily functions. Your energetic approach and attention to detail will help foster a productive environment, enhance customer interactions, and keep our office running seamlessly. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately. Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools. Perform data entry tasks with precision, ensuring all records are up-to-date and accurate. Support office management activities such as calendar management, scheduling appointments, and coordinating meetings. Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices. Provide exceptional customer service by responding promptly to inquiries via phone or email, offering support as needed. Proofread documents for accuracy and clarity while maintaining high standards of professionalism. Handle clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory. Support personal assistant functions including travel arrangements and personal scheduling for executives when required. Qualifications Proven experience in office administration or clerical roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Familiarity with QuickBooks or other bookkeeping software is preferred. Excellent phone etiquette skills with experience managing multi-line phone systems. Bilingual abilities are highly desirable to assist diverse clientele effectively. Strong typing skills with high accuracy; attention to detail is essential for proofreading and data entry tasks. Prior experience as a receptionist, medical receptionist, dental receptionist or personal assistant is advantageous. Demonstrated ability to manage time efficiently and prioritize tasks in a busy environment. Knowledge of office management practices along with excellent customer service skills.
