Salary Range:
$70,000 - $80,000 per year Final compensation will be determined based on experience, skills, and qualifications. Position Summary The Company is seeking a highly organized and detail-oriented Senior Executive Assistant with a minimum of five (5) years of experience to provide executive and administrative support to the Director of Operations . This is a full-time, in-office position supporting construction and real estate development operations, including projects utilizing tax credit financing . The successful candidate will have experience supporting tax credit-driven development projects , managing time-sensitive documentation, coordinating with internal teams and external consultants, and maintaining a high level of professionalism and confidentiality.Essential Job Functions Executive & Administrative Support:
Manage and maintain complex calendars, meetings, site visits, travel arrangements, and scheduling priorities Serve as a point of contact between the Director of Operations and internal staff, consultants, lenders, attorneys, investors, and municipal agencies Prepare agendas, correspondence, reports, and meeting materials Handle confidential and sensitive information with discretionTax Credit & Compliance Support:
Provide administrative support for projects utilizing tax credit financing , including but not limited to LIHTC, Historic Tax Credits, and other incentive-based programs Track and organize tax credit documentation, deadlines, submissions, approvals, and compliance materials Coordinate with tax credit consultants, syndicators, CPAs, attorneys, and regulatory agencies Assist with document preparation for audits, lender reviews, investor reporting, and compliance monitoring Maintain accurate and well-organized tax credit and compliance filesConstruction & Development Support:
Assist with project documentation, meeting minutes, RFIs, submittals, and follow-ups using Procore Track schedules, milestones, and deadlines using Microsoft Project Coordinate with architects, engineers, contractors, and development consultants to support project timelinesFollow-Up & Organization:
Monitor outstanding action items and follow up with internal and external parties as needed Maintain organized electronic and physical filing systems Assist with contract tracking, document control, and approvalsMinimum Qualifications:
Minimum of five (5) years of experience as an Executive Assistant or in a comparable administrative support role Experience supporting tax credit-financed real estate development projects Familiarity with construction and real estate development environments Proficiency in Microsoft Office (Outlook, Word, Excel, Teams) Strong organizational, time management, and communication skills Ability to manage multiple priorities in a fast-paced environment Ability to work full-time on-site in North Jersey Preferred Qualifications Experience with LIHTC, Historic Tax Credits, or similar incentive programs Working knowledge of Procore and Microsoft Project Prior experience supporting senior or executive-level leadership Benefits The Company offers a competitive benefits package, which may include: Health Insurance (medical, dental, and vision coverage) Paid Time Off (PTO) , including vacation and sick time, in accordance with company policy and New Jersey paid sick leave requirements Paid Holidays , including recognized company holidays Eligibility for additional benefits in accordance with company policy Equal Employment Opportunity Statement The Company is an Equal Opportunity Employer and is committed to providing equal employment opportunities to all applicants and employees in accordance with applicable federal, state, and local laws.
