Service Advisor Job Description Summary of Purpose:
The Service Advisor acts as the primary liaison between customers and the service technicians or sales people in a shop or dealership. They are responsible for ensuring clear communication and a smooth customer experience throughout the repair or maintenance process. •A foundational understanding of tractor mechanics, parts, and repair processes is required.•Responsibilities and Duties:
The primary duties of a service writer involve a blend of customer service, sales, and administrative tasks: : Greet customers, listen to their description of symptoms and concerns, and ask follow-up questions to understand their service needs in person, by phone and by text message. : Accurately document the customer's concerns on a repair order, translating non-technical descriptions into clear instructions for the technicians. : Develop cost and time estimates for parts and labor and communicate them to the customer. They obtain customer approval for any additional work needed beyond the original estimate. : Schedule service appointments and coordinate with the service manager to assign jobs to technicians and manage the overall workflow and deadlines. : Serve as the main point of contact, providing updates on the repair status, explaining the work performed, and addressing any customer questions or complaints. : Identify opportunities to recommend additional maintenance or services based on the vehicle's condition or service schedule, contributing to business growth. : Process paperwork, close out repair orders, handle payments, manage warranty claims, and maintain accurate customer and vehicle records in a dealer management system. : Assist with receiving of unit inventory. Ensure proper transfer of inventory when needed and participate in occasional stock checks. Performs other duties as assigned.Supervisory Responsibilities:
None Special Knowledge/Skills:
: Exceptional verbal and written communication skills are essential to communicate complex technical information clearly to non-technical customers and relay technical needs to mechanics. : A foundational understanding of tractor mechanics, parts, and repair processes is vital for accurately diagnosing issues and discussing repairs with authority. : A strong customer-first mindset, active listening skills, and the ability to handle difficult conversations and complaints professionally are critical for customer satisfaction and retention. : The role requires managing multiple tasks, appointments, and repair orders simultaneously in a fast-paced environment. : Experience with service management software and basic office applications is necessary for record keeping and administrative tasks.Experience:
2+ years of experience in diesel engine/tractor repair. 2+ years of experience as a Service Advisor or similar role.Minimum Education/Certification:
High School diploma or equivalent, trade school degree a plus. Must possess and maintain a valid driver's license with acceptable driving record.Equipment Used:
Laptop computer, multi-function printer, and phone with occasional help using small hand tools, drills, air-powered tools, torch, jack, lift equipment, vehicle diagnostic and other repair equipment.Physical Demands:
Moderate walking, standing, climbing, light lifting, carrying, stooping, bending, kneeling, and reaching.; occasionally lift and carry parts and equipment 10-25 pounds; possess manual dexterity to complete mostly office work and occasional shop assistance.Environment:
Mostly office with some work around moving objects or vehicles; fumes, solvents, grease and oil. May work under conditions of inclement weather.Job Type:
