Job Description

What are we looking for? A Service Coordinator/Office Administrator who will be an empathetic champion for our customers' service needs, while making sure we dot every I and cross every T. This is a dual-role position at the center of everything we do
  • equal parts client service coordination and office operations. What do we bring to the table?

Skokie, IL (Chicago suburb) Who would you report to? Jack Piehn, Service Manager What are the hours like? Full-time (40 hours per week) What is our minimum requirement? 3+ years in high-end customer service and/or scheduling, with an emphasis on premium products and services. These systems may be installed in homes, condos, and businesses in the greater Chicago area and beyond. Mills is known throughout Chicago for our unrelenting commitment to customer service. Many of our new clients are family and friends of our existing ones. At Mills, our goal is to be our clients' trusted technology experts. What would you be doing? As the Service Coordinator/Office Administrator at Mills Technologies, your time will be spent ensuring our clients receive a world-class service and support experience 100% of the time. This will include working extensively within a suite of service tools that we have implemented, including our ticket-tracking system (don't worry, we'll train you on these tools). You will be responsible for ensuring follow-through in a timely manner, coordinating, and scheduling resources, and staying in close communication with our clients throughout the process. You will regularly check in with our technicians throughout the day to then manage and edit their schedules, if necessary. While the majority of your time will involve service coordination tasks, the remainder of your time will be focused on general office administrative tasks such as:
  • Service scheduling
  • Project scheduling
  • Coordination with other contractors
  • Following up on status of equipment orders for service
  • Service billing
  • Scheduling of office maintenance
  • Scheduling of vehicle maintenance
  • Coordination of internal and external company events
  • Enter tracking information for orders
  • Purchase and restock office products, including staff wardrobe
  • Checking and sending mail
  • Scheduling travel An affinity for picking up new software is imperative in this role!
Ever heard of an air traffic controller? Take those responsibilities, transpose them into the office setting, and you've got a good roadmap for this role. This role is absolutely critical in keeping our service and office functions organized and moving in the right directions. To this end, it's also absolutely crucial that someone in this role is intrinsically motivated to make it their own
  • we don't micromanage here, and we expect you to "own" your work (you complete excellent work without having to be constantly directed, hint, hint).
Some days, your daily work will be planned and structured. However, ours is a fast-moving anddynamic line of work. Your priorities can shift at a moment's notice. You must be comfortable with this and willing to be an active participant in juggling multiple demands. We need someone who can take curveballs like a champ! Finally, you will always be expected to treat our clients with patience and friendliness no matter how big or small their issue. Client service is something we hold sacred at our company, so it is of the utmost importance that you be willing and able to serve as a helping hand for our clients in their moment of need. What should you bring to the table?
  • 3+ years in a leading role providing white-glove customer service to a refined clientele
  • Highly organized, and dedicated to details and follow-through
  • Patient and friendly personality at all times
  • Excellent written and verbal communication skills
  • you know how to be clear, accurate, and concise
  • Resourceful and willing to patiently work through challenging situations
  • Ambition to strive for 100% client satisfaction at all times
  • Experience in the home technology business is a plus but not a requirement
