Position Summary Reporting to the Service Manager, the Service Writer is the primary point of contact for all service customers and plays a critical role in managing the flow of work through the service department. This role is responsible for accurately capturing customer needs, coordinating service work, communicating clearly throughout the repair process, and ensuring a high level of customer satisfaction. The Service Writer works closely with technicians, the Parts Department, and customers to ensure efficient operations, accurate documentation, and a seamless service experience. Key Responsibilities 1. Customer Intake & Service Coordination Greet customers and intake units for service, repair, and maintenance. Ask the right questions and actively listen to accurately understand customer concerns and needs. Create detailed and accurate repair orders to support efficient diagnostics and repair. Schedule service work and manage workflow to align with shop capacity and timelines. 2. Customer Communication & Experience Act as the primary point of contact for all service customers (phone, email, text, and in-person). Provide clear, professional communication regarding service timelines, estimates, and updates. Maintain consistent follow-up with customers throughout the repair process. Ensure a high level of customer satisfaction and proactively resolve concerns. 3. Service Process Execution Follow established dealership service processes to ensure consistency and accuracy. Coordinate with technicians to communicate findings, approvals, and additional repair needs. Review and finalize repair orders for accuracy prior to closing. Ensure all work is properly documented and billed. 4. Sales & Relationship Development Build strong customer relationships to drive repeat business and referrals. Identify opportunities to recommend additional services, maintenance, or accessories. Support overall service department revenue through effective communication and upselling where appropriate. 5. Rental & Additional Support Manage rental reservations, including check-in/check-out of rental units. Ensure proper documentation and condition tracking for rental equipment. Provide backup support to the Parts Department as needed. 6. Product Knowledge & Training Complete product knowledge training and maintain familiarity with all powersports products and accessories. Stay current on OEM offerings, service requirements, and common repair needs. Continuously improve knowledge to better support customers and the service team. 7. Systems & Administrative Accuracy Utilize dealership management systems (DMS) to track service orders and customer interactions. Maintain accurate records, notes, and documentation for all service transactions. Manage multiple work orders and customer interactions without missing critical details. Qualifications Strong verbal and written communication skills. Proven ability to deliver excellent customer service and build relationships. Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. Intermediate computer skills and comfort working within dealership systems. High school diploma (or equivalent) required. Valid driver's license with a good driving record.
