Assistant to the Village Manager The vibrant Village of Key Biscayne, incorporated on June 18, 1991, is in the center 1.25 square miles of a four-mile-long, two-mile-wide barrier island between the Atlantic Ocean and Biscayne Bay. The island is connected via a scenic causeway and bridges to the City of Miami, only seven miles away. Key Biscayne is a thriving residential community of more than 15,000 residents. Together with our residents, we are advancing our safe and secure village; thriving and vibrant community and local marketplace; engaging and active programs and public spaces; accessible, connected, and mobile transportation system; and resilient and sustainable environment and infrastructure. The Village of Key Biscayne is seeking a highly motivated, analytically minded, and service-oriented professional to serve as Assistant to the Village Manager . This position works closely with the Village Manager in supporting executive priorities, strategic initiatives, policy development, community engagement, and organizational coordination. This role provides a unique opportunity for an emerging local government professional to gain broad exposure to executive leadership, municipal operations, strategic planning, intergovernmental affairs, and Council relations. The successful candidate will help ensure that strategic priorities are effectively coordinated, communicated, monitored, and implemented throughout the organization while supporting the Village Manager's vision and objectives.ESSENTIAL DUTIES AND RESPONSIBILITIES 1.
Executive-Level Assistance Provide direct support to the Village Manager and assist in optimizing executive priorities, time management, and organizational effectiveness. Coordinate executive initiatives and follow-up activities. Prepare correspondence, reports, presentations, and meeting materials. Conduct research and analysis on matters of importance to the Village Manager. Serve as a liaison between the Village Manager's Office, departments, governmental agencies, and community stakeholders. 2. Strategic Initiative Tracking and Implementation Support the execution of the Village Manager's strategic priorities and organizational objectives. Track key initiatives, action items, milestones, and deadlines. Prepare status reports and implementation updates. Monitor progress of strategic and Council-directed projects. Identify potential obstacles and assist in developing solutions to maintain project momentum. Support implementation of Village strategic priorities and special initiatives. 3. Council and Executive Briefing Support Provide analytical and administrative support related to Village Council matters. Assist in the preparation of Council agenda materials, executive summaries, reports, and presentations. Conduct policy research and issue analysis. Prepare briefing memoranda and background materials for executive review. Track Council requests, assignments, and follow-up actions. Assist in ensuring timely responses to Council inquiries and direction. 4. Governmental and Legislative Affairs Support the Village's intergovernmental relations and legislative initiatives. Monitor local, regional, state, and federal issues affecting Village interests. Assist with legislative tracking and policy analysis. Prepare correspondence, briefing materials, and summaries related to governmental affairs. Coordinate with partner agencies and stakeholder organizations as assigned. 5. Strategic Communications and Community Engagement Assist in advancing Village communications and community engagement objectives. Support executive communications and public information efforts. Assist with community meetings, presentations, and outreach activities. Coordinate communications materials and executive messaging. Support responsive engagement with residents, community organizations, and external stakeholders. 6. Cross-Department Project Coordination Assist with Village-wide initiatives requiring collaboration across multiple departments. Coordinate project activities involving multiple departments and stakeholders. Facilitate communication and information sharing among project participants. Support implementation of organizational priorities and special projects. Assist in maintaining accountability, alignment, and progress toward project goals. 7. Executive-Level Special Projects Perform highly responsible analytical and administrative assignments directly supporting the Village Manager and organizational priorities. Lead or coordinate special studies and projects. Conduct organizational, operational, and policy research. Prepare recommendations and implementation strategies.- Provide support for emerging priorities and executive initiatives.
MINIMUM REQUIREMENTS
- Bachelor's degree from an accredited college or university with major coursework in Public Administration, Public Policy, Business Administration, Communications, Political Science, Urban Planning, or a related field. A master's degree is desirable.
- Five (5) years of progressively responsible administrative, analytical, project management, communications, strategic planning, policy, or local government experience.
- Experience supporting executive leadership, coordinating cross-functional initiatives, and working with elected or appointed officials is highly desirable.
- Strong analytical, organizational, research, writing, and problem-solving skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and projects simultaneously.
- High degree of professionalism, discretion, judgment, and emotional intelligence.
- Fluency in English required.
SALARY RANGE
$68,869 - $112,601POSITION TYPE:
