Grade 5 Starting salary: $19.50/hr.
JOB SUMMARY
Under the general supervision of the Program Coordinator, the Universal Intake Specialist will be responsible for a variety of client services including conducting intake meetings with individuals applying for assistance, collecting client information required for program application, conducting pre-assessments to determine program eligibility, collecting requirement documents and conducting follow-ups with clients. The Universal Intake Specialist must comply with the Supportive Services' established policies and procedures. This position is customer service-based and does not involve case management. This is a full-time, 35-hour per-week position currently funded through renewable grants.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Meet and conduct intake meetings with clients applying for assistance through in-person, phone, or video-conferencing methods Create and maintain client records in the agency's database system by entering data collected from the intake meetings Conduct pre-assessments to determine initial eligibility to the agency's programs, properly recording pre-assessment data into the system and making follow-ups for incomplete data, as needed Collect, record, and maintain completeness of required documents, including organizing and scanning documents and conducting follow-ups with clients as needed Utilize the CapSystems (CAPTAIN) software in recording and maintaining client intake data and documents Effectively apply motivational interviewing techniques with clients Work in coordination with other staff, particularly with those responsible for setting up client appointments Perform other duties to promote the success of the department, as assigned
EDUCATION, EXPERIENCE AND QUALIFICATIONS
Associate degree or higher in human services, community development, or related field with 1-2 years of comparable work experience Experience working with people with diverse racial, ethnic, cultural, and socioeconomic backgrounds Excellent customer service skills, including being responsive, communicative, and flexible, with the ability to adhere to policy, processes, and procedures while interacting with clients Detail-oriented and organized Ability to be a "self-starter" and work independently with minimal supervision Ability to maintain confidentiality Ability to organize time and prioritize workload, including being adaptable and flexible Demonstrated proficiency in computer technology including word processing, spreadsheet applications, and data-gathering systems Availability to work a flexible schedule including evenings and weekends Ability to communicate effectively through oral and written mediums Spanish language a plus
