Job Description

Reliable Family Services is seeking a dependable, organized, and professional Office Assistant to support daily operations within our growing personal care agency. The ideal candidate must have prior experience working in a Personal Care Agency, Home Health Agency, or healthcare office environment and understand the fast-paced nature of home care operations. This position plays a key role in supporting caregivers, assisting with client documentation, maintaining compliance records, answering phones, scheduling, and helping ensure smooth day-to-day office operations. We are looking for someone who is detail-oriented, compassionate, professional, and able to multitask efficiently.
Responsibilities:
Administrative & Office Support Answer incoming calls and assist clients, caregivers, and referral sources professionally Manage office emails, filing systems, and daily administrative tasks Maintain organized employee and client files Assist with onboarding paperwork for caregivers and staff Scan, upload, and manage documentation within agency systems Ensure documents remain compliant with agency and state requirements Scheduling & Caregiver Support Assist with caregiver scheduling and shift coverage Communicate with caregivers regarding schedules, call-offs, and updates Support office staff with staffing coordination and client communication Help track employee credentials, training renewals, and compliance items Client & Compliance Support Assist with maintaining accurate client records Support EVV/documentation processes Help prepare files for audits and compliance reviews Maintain confidentiality of all client and employee information Qualifications
REQUIRED
Previous experience working in a Personal Care Agency, Home Health Agency, or healthcare office setting Strong organizational and multitasking skills Excellent communication and customer service skills Comfortable working in a fast-paced office environment Proficient with computers, email, Microsoft Office, and basic office software Experience with EVV systems, caregiver scheduling, or home care software is a plus Professional attitude and dependable work ethic High School Diploma or GED required Preferred Experience Personal care agency office experience Home healthcare scheduling experience Knowledge of Wisconsin Medicaid/home care documentation processes Experience handling caregiver files and compliance tracking Pay Pay is negotiable based on experience Opportunity for growth within the company
Pay:
$18.00 - $26.00 per hour
