This position is responsible for creating and maintaining digital case files, entering and updating case information, uploading and organizing documentation, coordinating with clients and medical providers, communicating with insurance adjusters, and ensuring all case records are complete and compliant with firm procedures and HIPAA requirements. The ideal candidate is comfortable working with confidential information, managing multiple priorities, communicating professionally, and maintaining a high level of accuracy in a fast-paced environment. Key Responsibilities Case Management & Documentation Open new cases in the CRM with accurate client and incident details. Update case information as new documents, records, or case developments are received. Review intake forms and identify missing, incomplete, or unclear information. Upload documents such as intake forms, insurance cards, police reports, medical records, and other case-related materials into the appropriate digital case files. Organize digital files according to the firm's established naming conventions and folder structure. Scan, label, and properly route incoming mail, faxes, and records. Maintain accurate and up-to-date case information throughout the life of the case. Client & Provider Coordination Contact clients by phone or email to request missing documents or information. Accurately document all client communications in case notes. Confirm client appointment dates and times and conduct follow-up as needed. Contact insurance adjusters to obtain claim numbers, policy limits, coverage details, and other relevant information. Request provider referrals from assigned lists or as directed by the team. Schedule client appointments with medical providers. Notify the appropriate team members when EMS or hospital visits are involved and document all related information. Track and add EMS fees to the appropriate case files. Follow up on outstanding information and appointments to help keep cases moving forward. Compliance & Quality Control Ensure client information is complete, accurate, secure, and handled in accordance with HIPAA requirements. Follow all firm procedures regarding documentation, file organization, data entry, and confidentiality. Identify and report errors, discrepancies, or missing information to the Lead File Processor. Update the Source Spreadsheet consistently and accurately. Review work carefully to minimize errors and prevent delays in case processing. Maintain confidentiality when handling sensitive client, medical, insurance, and legal information. Metrics for Success Success in this role will be measured by: Accurate and timely creation and maintenance of digital case files. Clear, complete, and timely documentation of client and insurance adjuster communications. On-time scheduling of medical appointments and completion of follow-ups. Consistent compliance with HIPAA and internal documentation protocols. Accurate data entry and file organization. Prompt identification and escalation of missing or incorrect information. Active contribution to case progress, organization, and error prevention. Qualifications & Skills Strong attention to detail and excellent organizational skills. Ability to manage multiple cases, tasks, and deadlines simultaneously. Excellent written and verbal communication skills. Professional and courteous telephone and email communication. Strong computer skills and ability to learn CRM and case-management systems. Ability to accurately enter and maintain information in databases and spreadsheets. Ability to handle confidential and sensitive information with discretion. Strong follow-through and ability to independently track outstanding tasks. Ability to work effectively as part of a team. Prior experience in a law firm, personal injury practice, medical office, insurance environment, or case-management role is a plus. Familiarity with HIPAA requirements and handling medical documentation is preferred. Ability to use a computer, keyboard, mouse, telephone, scanner, copier, and other standard office equipment. Ability to frequently perform repetitive hand and wrist movements associated with typing, data entry, scanning, filing, and computer use. Ability to lift and carry office materials, files, mail, or documents weighing up to 25 pounds on an occasional basis. Ability to visually review documents, computer screens, and written materials for extended periods. Ability to communicate effectively in person, by telephone, and electronically. Pay:
