Job Description
About the Position The Addison County Unit for Special Investigations & Child Advocacy Center is seeking a highly organized, detail-oriented, and dependable Case Manager / Program Support Coordinator to support the daily operations of our Child Advocacy Center and multidisciplinary team. This is a primarily administrative and program support position responsible for case data entry and tracking, scheduling, records management, forensic interview room and equipment preparation, MDT support, quarterly reporting, and assistance with fundraising and agency events. This position does not provide direct counseling, therapy, forensic interviewing, or direct advocacy services to children or victims/survivors. Key Responsibilities Case Management & Data Enter and maintain accurate case information in NCATrak and other designated databases. Track cases from referral through closure and monitor outstanding case activities. Maintain accurate case files, spreadsheets, calendars, and tracking systems. Identify missing or inconsistent information and follow up as needed. Compile case statistics and outcome data. Assist with preparation of quarterly program, statistical, and grant reports, including compiling and verifying case data and supporting documentation. Support National Children's Alliance accreditation, program reporting, and grant requirements. Forensic Interview & MDT Support Prepare forensic interview rooms and ensure necessary materials are available. Set up, test, and maintain recording, observation, and audiovisual equipment. Assist with secure handling, transfer, uploading, and storage of interview recordings and related files. Coordinate interview scheduling and logistics. Provide administrative support for MDT meetings and case reviews. Prepare case lists, agendas, reports, and other materials as needed. Maintain MDT records and track assigned follow-up items. Administrative & Program Support Maintain agency calendars and assist with scheduling meetings, interviews, trainings, and appointments. Prepare correspondence, spreadsheets, forms, reports, and other documents. Assist with equipment, office supplies, inventory, purchasing, and organization. Support data collection, grant reporting, and other agency administrative needs. Maintain strict confidentiality and comply with agency policies, applicable laws, CJIS requirements, and National Children's Alliance standards. Fundraising & Events Assist the Executive Director with planning, coordinating, and attending fundraising activities, community events, outreach activities, and special events. Assist with event registration, materials, supplies, signage, communications, and day-of-event logistics. Assist with donor, sponsor, volunteer, and participant coordination. Maintain event and fundraising records. Assist with fundraising materials, correspondence, mailings, and other development activities. Qualifications Associate's degree or equivalent combination of education and experience, with at least two years of experience working in an office setting. Prior experience in child welfare, human services, criminal justice, victim services, child advocacy, nonprofit administration, healthcare, or a related field preferred. Strong computer, data-entry, organizational, and administrative skills. Excellent attention to detail and accuracy. Proficiency with Microsoft Office, including Word and Excel. Ability to learn and effectively use electronic databases and case management systems. Ability to troubleshoot basic technology and audiovisual equipment. Strong written and verbal communication skills. Ability to maintain confidentiality and professional boundaries. Ability to manage multiple priorities, deadlines, schedules, and competing needs. Ability to work independently and collaboratively with staff and MDT partners. Experience with fundraising, event coordination, nonprofit administration, or community outreach preferred. Ability to adjust and be flexible with the work schedule, including meetings, trainings, fundraising activities, or events. Ability to maintain a consistent onsite presence during regular business hours; Monday-Friday. Employment is contingent upon successful completion of all required criminal background, fingerprint-based, and Child Protection Registry checks. Training & Professional Development Training will be provided in CAC operations, NCATrak, data management, confidentiality, forensic interview processes and technology, MDT collaboration, National Children's Alliance standards, and other areas relevant to the position. The Case Manager will participate in regular supervision, case consultation, and professional development. Work Environment This is a primarily in-office position involving confidential information related to child abuse investigations and multidisciplinary team activities. The position requires regular interaction with CAC staff, law enforcement, child protection, prosecutors, forensic interviewers, medical and mental health providers, and other MDT partners. Pay:
