ABOUT SYLVAN LEARNING

We're a locally owned center serving families across Stafford, Fredericksburg, and surrounding communities with personalized programs in reading, writing, math, SAT/ACT prep, and STEM. We're a small, dedicated team doing work that genuinely changes kids' trajectories. Our families trust us with the moments that matter — the struggling reader who finally gets it, the anxious test-taker who walks out confident. That's what we're here for. And we're growing. We're looking for an Assistant Director who brings energy, creativity, and a genuine drive to connect with families — someone equally comfortable running operations, picking up the phone to follow up with a prospective family, and dreaming up a themed week that kids talk about for months.
THE ROLE
This is not a tutoring position and it's not a passive role. As Assistant Director, you'll have three core areas of ownership: ▸ Family outreach and enrollment follow-up — you are the person who closes the loop ▸ Center creativity and culture — you make this a place kids are excited to walk into ▸ Day-to-day operations — you keep things running so students and staff can do their best work You'll work directly with the center owner and program coordinator and have real responsibility from day one, and be part of a team that genuinely cares about what happens to every kid who walks through our doors.
FAMILY OUTREACH & ENROLLMENT
YOUR MOST IMPORTANT JOB
You follow up, as long as you need to. You keep a list, you work the list, and you don't let a warm lead go cold because life got busy. You understand that reaching out to a family worried about their child isn't pushy — it's caring. Specifically, you'll: ▸ Make proactive care calls to families who have expressed interest — and to current families to check in on student progress and satisfaction ▸ Follow up consistently with every inquiry, assessment, and prospective enrollment until you have a clear answer ▸ Conduct enrollment consultations and walk families through our programs with confidence and warmth ▸ Re-engage lapsed families through outreach calls, texts, and personalized follow-up ▸ Track all leads, follow-ups, and outreach in an organized, consistent system — nothing falls through the cracks on your watch ▸ Partner with ownership to hit enrollment targets each quarter

MARKETING, CREATIVITY & CENTER CULTURE
We're looking for the person who thinks up a Harry Potter reading week, turns a waiting area into a puzzle wall, or knows how to make a back-to-school reel that actually stops the scroll. If that's you, we want to meet you. Center Themes & Student Experience ▸ Lead seasonal themes and center décor that make students excited to walk in the door ▸ Plan and run engaging transition time activities — brain games, creative challenges, STEM builds — that keep students energized between sessions ▸ Keep the center environment fresh, welcoming, and reflective of the Sylvan brand Social Media & Digital Presence ▸ Own our Instagram and Facebook — content creation, scheduling, posting, and community engagement ▸ Create graphics, reels, and posts that showcase student wins, center energy, and program highlights ▸ Keep our website content current so our online presence matches what makes us special Community Outreach & Marketing ▸ Develop and distribute flyers, promotional materials, and program announcements ▸ Partner with the director to represent Sylvan at community events, school fairs, and local outreach activities ▸ Build and maintain relationships with local schools, PTAs, and community organizations ▸ Support seasonal campaigns for summer programs, SAT prep, and enrollment pushes
CENTER OPERATIONS
You'll keep the day-to-day running smoothly so our instructors can focus on students and families always have a great experience: ▸ Manage student scheduling, enrollment processing, and the active student roster ▸ Run and analyze key reports — enrollment, attendance, accounts receivable, appointments needed ▸ Monitor accounts and flag anything that needs attention ▸ Support staff scheduling and assist with team communication and coordination ▸ Maintain an organized, welcoming, operationally tight center environment

PREFERRED QUALIFICATIONS
▸ Bachelor's degree in Education, Communications, Marketing, Business, or related field (or equivalent experience) ▸ 2+ years in education, tutoring, school operations, customer-facing sales, or community outreach ▸ Comfortable with outbound calls and family consultations — this is not optional ▸ Experience with social media content creation (Instagram, Facebook) ▸ Familiarity with Canva, Google Workspace, or student scheduling platforms a plus ▸ Military-connected candidates and those with ties to the Stafford/Quantico community strongly encouraged to apply
