LifeStriders, Waukesha, Wisconsin Position Summary The Volunteer & Outreach Coordinator is responsible for the recruitment, onboarding, coordination, engagement, and overall experience of LifeStriders' volunteer community. This position serves as a primary point of contact for current and prospective volunteers and helps build and maintain a strong, sustainable volunteer pipeline to support LifeStriders' programs, events, campus, and organizational needs. A significant focus of this role is proactive volunteer outreach and pipeline development . The Coordinator actively develops relationships with schools, colleges and universities, businesses, civic and community organizations, faith-based organizations, volunteer networks, and other potential recruitment partners. The role also represents LifeStriders at volunteer fairs, community events, and other outreach opportunities. The ideal candidate is an outgoing relationship-builder who enjoys connecting people with meaningful opportunities, is highly organized and responsive, and can create a positive volunteer experience from initial interest through ongoing involvement. Essential Duties and Responsibilities Volunteer Coordination & Onboarding Coordinate volunteer scheduling and coverage based on program and organizational needs, identifying potential gaps and responding proactively. Respond promptly to volunteer inquiries and provide clear, welcoming information regarding opportunities, requirements, schedules, and expectations. Guide prospective volunteers through the onboarding process, including applications, required documentation, orientation, training, placement, and initial scheduling. Match volunteers with opportunities based on organizational needs and individual interests, skills, experience, availability, and comfort level. Maintain regular communication with prospective volunteers from initial inquiry through active placement. Coordinate volunteer orientations, onboarding sessions, and training opportunities in partnership with the Volunteer & Equine Skills Manager and appropriate staff. Maintain accurate volunteer records, schedules, participation information, required documentation, and related data within organizational systems. Volunteer Recruitment, Outreach & Pipeline Development Develop and maintain an active pipeline of prospective volunteers to support current and anticipated organizational needs. Proactively identify and pursue community outreach, recruitment, and marketing opportunities that increase awareness of LifeStriders and its volunteer opportunities. Build and maintain relationships with schools, colleges and universities, businesses, civic and service organizations, faith-based organizations, community groups, volunteer networks, and other recruitment partners. Identify and coordinate LifeStriders' participation in volunteer fairs, community events, presentations, networking opportunities, and other recruitment activities. Represent LifeStriders in the community and effectively communicate its mission, programs, volunteer opportunities, and impact. Develop opportunities for corporate, school, community, and service groups to engage with LifeStriders through volunteer service. Collaborate with staff to understand current and anticipated volunteer needs and develop targeted recruitment strategies. Track recruitment sources and outreach activities to evaluate the effectiveness of partnerships, events, and recruitment strategies. Support the development and distribution of volunteer recruitment and outreach materials in partnership with appropriate staff. Identify new opportunities to expand LifeStriders' visibility, community relationships, and volunteer reach. Volunteer Experience, Engagement & Retention Create a welcoming, organized, inclusive, and meaningful experience for volunteers throughout their involvement with LifeStriders. Serve as a primary point of contact and resource for volunteers, building positive relationships and maintaining consistent communication. Engage with volunteers to understand their experience, identify opportunities for improvement, and support continued involvement. Under the direction of the Volunteer & Equine Skills Manager, coordinate volunteer engagement, appreciation, and recognition activities throughout the year. Develop and distribute volunteer communications, updates, reminders, informational resources, and other engagement materials. Identify opportunities for volunteers to deepen or expand their involvement with LifeStriders. Serve as a liaison between volunteers and staff, addressing routine questions and elevating significant concerns or performance issues to the Volunteer & Equine Skills Manager as appropriate. Support consistent application of LifeStriders' volunteer policies, procedures, expectations, and organizational standards. Volunteer Program Administration & Reporting Track volunteer participation, recruitment activity, onboarding progress, retention, service hours, recruitment sources, outreach activities, and other relevant metrics. Prepare volunteer reports, summaries, and updates as requested. Monitor volunteer trends and identify opportunities to strengthen recruitment, onboarding, engagement, and retention. Maintain volunteer training, orientation, and program resources and documentation. Collaborate with staff to anticipate changing volunteer needs and support continuous improvement of volunteer processes and experience. Schedule Part-time position scheduled for up to 30 hours per week , based on organizational and volunteer program needs. This position is required to work on-site at the LifeStriders Waukesha campus on a rotating schedule based on volunteer coverage, programs, and organizational needs. Remaining scheduled hours may include community-based recruitment, outreach, relationship development, recruitment events, and other approved work activities. Schedule flexibility is required and will include two Saturday mornings per month and may periodically include evenings or additional weekends to support volunteer orientations, recruitment, outreach, and organizational events. Local travel is required as part of the position's volunteer recruitment and outreach responsibilities. Minimum Job Requirements High school diploma or equivalent required; associate or bachelor's degree in communications, nonprofit management, business, marketing, human services, community engagement, or a related field preferred. Minimum of 2-3 years of relevant experience in volunteer coordination, community engagement, outreach, recruitment, relationship management, nonprofit programming, or a related area preferred. Demonstrated ability to build relationships and engage effectively with individuals and community organizations. Experience with volunteer recruitment, community outreach, relationship development, or other public-facing engagement strongly preferred. Experience working in a nonprofit, community-based, educational, or mission-driven organization preferred. Demonstrated proficiency with technology and common workplace software, including databases, spreadsheets, shared documents, email, scheduling tools, and web-based systems, with the ability to quickly learn and effectively use new technology and software platforms. Valid driver's license and reliable transportation for local community outreach and events. CPR and First Aid certification preferred or willingness to obtain as required. Proficiency with computers, databases, spreadsheets, shared documents, email, and volunteer or constituent management systems. Ability to maintain accurate records, track metrics, analyze basic volunteer data, and prepare reports. Ability to work independently, exercise sound judgment, and collaborate effectively across the organization. Self-motivated, resourceful, and comfortable taking initiative to develop new relationships and opportunities. Physical Requirements / Work Environment Ability to work in an active nonprofit campus environment that includes office, program, barn, and outdoor settings. Ability to travel locally to community organizations, schools, businesses, volunteer fairs, presentations, and recruitment events. Ability to move throughout the LifeStriders campus and navigate uneven indoor and outdoor surfaces. Ability to sit, stand, walk, bend, and perform routine physical activities associated with volunteer activities and community events. Ability to occasionally lift, carry, move, or transport supplies and materials weighing up to 35 pounds. Ability to periodically work outdoors in varying weather conditions. Regular exposure to horses, hay, dust, barn allergens, and other elements associated with an equine facility.
