The Graduate Enrollment Specialist serves as the primary Graduate College contact for prospective students and supports students throughout the enrollment journey from inquiry through onboarding. This position provides admissions and enrollment guidance, coordinates enrollment communications, manages communication workflows within Slate, and supports student engagement activities designed to foster a welcoming and informed experience. This position also works closely with academic programs, the Graduate Admissions Team, Extended Studies, and other campus partners to ensure prospective students receive timely information, appropriate referrals, and consistent communication throughout the inquiry, application, admission, and enrollment process. Through communication, relationship-building, and enrollment support, this position contributes to Graduate College enrollment goals and student success.
Department Overview:
The Graduate College is dedicated exclusively to graduate education and graduate student success at Boise State University, guiding students through admissions, academic policy, and degree completion while upholding program standards. As the administrative home for the university's master's and doctoral programs, the Graduate College supports students, faculty, and staff through collaborative, innovative approaches to scholarly research, professional development, and academic achievement.
Level Scope:
Entry-level professional with limited or no prior experience contributing to a project or work team. Incumbent learns to use professional concepts to resolve problems of limited scope and complexity under close supervision while achieving day-to-day objectives. Works on developmental assignments that are initially routine in nature, requiring limited judgment and decision-making. This level is typically focused on self-development. Requires theoretical knowledge through specific education and training.
Essential Functions:
95% of Time the position must: Prospective Student Support & Enrollment Guidance Serve as the primary Graduate College point of contact for prospective students. Respond to inquiries through email, phone, virtual appointments, and other communication channels. Provide guidance regarding graduate admissions processes, application requirements, enrollment steps, and Graduate College resources. Help prospective students navigate the transition from inquiry through application, admission, and enrollment. Refer students to academic programs for discipline-specific questions related to curriculum, faculty, research opportunities, assistantships, and program expectations. Model a positive customer service ethic in all interactions with students, faculty, staff, and campus partners. Enrollment Communications & Student Engagement Coordinate and execute communications supporting students from inquiry through enrollment and onboarding. Manage communication campaigns and workflows within Slate. Support communication personalization and engagement efforts designed to improve the prospective student experience. Coordinate communications related to orientation, onboarding, and transition activities. Assist in developing communication content that supports enrollment and student engagement goals. Information Sessions, Events & Outreach Coordinate and facilitate graduate information sessions and enrollment-related events. Support Doctoral Recruitment Weekend communications and engagement activities. Support communication and engagement efforts associated with the Graduate Student Ambassador program. Collaborate with campus partners to provide prospective students with information about graduate education opportunities and resources. Represent the Graduate College at selected events, presentations, and outreach activities as appropriate. CRM Operations & Communication Workflow Management Maintain and improve communication workflows and enrollment communication processes within Slate. Support communication automation and campaign implementation. Ensure communication records, workflows, and documentation are accurate and current. Monitor communication performance and identify opportunities for improvement. Assist with testing, troubleshooting, and quality assurance related to communication workflows. Enrollment Data & Operational Support Track inquiry, applicant, admitted student, and enrollment activity. Compile reports and summaries related to enrollment communications and engagement efforts. Monitor communication engagement metrics and student participation trends. Identify recurring student questions, concerns, and barriers throughout the enrollment process. Provide feedback and recommendations to support continuous improvement efforts. Campus & Program Collaboration Collaborate with academic programs, the Graduate Admissions Team, Extended Studies, and other campus partners to support a coordinated enrollment experience. Serve as a resource regarding Graduate College enrollment communications, admissions processes, and student support resources. Support implementation of initiatives outlined in Graduate College strategic enrollment, retention, and student success planning efforts. Maintain awareness of best practices and emerging trends related to graduate enrollment communications and student engagement. 5% of Time the position must: Perform other duties as assigned
Knowledge, Skills, Abilities:
Knowledge of admissions, enrollment, and student support processes within higher education. Ability to communicate policies, procedures, application requirements, and enrollment information clearly and accurately to various audiences. Strong customer service, advising, interpersonal, and relationship-building skills. Ability to communicate effectively through individual appointments, presentations, email, phone, and virtual platforms. Ability to manage communication workflows, maintain accurate records, and utilize CRM systems effectively. Ability to analyze information, exercise sound judgment, and provide appropriate guidance and referrals. Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously. Ability to plan and coordinate events, information sessions, and engagement activities. Ability to work independently and collaboratively with academic programs and campus partners. Ability to identify student needs, recurring questions, and opportunities to improve communication and enrollment processes. Ability to work effectively with individuals from a variety of backgrounds, experiences, and perspectives. Standards set forth by the American Association of Collegiate Registrars and Admissions Officers (AACRAO)
Minimum Qualifications:
Bachelor's Degree or equivalent experience
Preferred Qualifications:
Experience working in graduate admissions, enrollment management, student services, or higher education. Experience using Slate or a comparable CRM platform and developing or coordinating communication campaigns and communication workflows. Experience planning and facilitating information sessions, workshops, or outreach events. Knowledge of graduate education processes, policies, and student experiences.
Physical Demands:
This position is generally in a normal indoor office setting with minimal noise levels and may involve bending, moving, lifting, and carrying materials that weigh up to 15 pounds Salary and Benefit s: Salary range is $49,732.80 to $52,832.00 annually and is commensurate with experience.
