This is a full-time, hourly (non-exempt) position, working from Monday through Friday from 9:00 am to 6:00 pm Do you believe that every child deserves a healthy, happy, nurturing environment in which to grow? Competitive insurance plans, including health, dental, vision, life insurances, and more Work life balance, including flexible scheduling, generous paid time off plans and ten paid holidays per year Retirement benefits with up to a 5% contribution match Educational tuition reimbursement and certification incentives Incredible training opportunities Discounted tuition rates to our onsite Montessori school What You Need AA Degree or High school degree; experience in an office management position Additional certification in Office Management is a plus Essential Duties and Responsibilities Answer telephone, screen and direct calls Take and relay messages Provide information to callers Greet persons entering organization Direct persons to correct destination Give Tours Deal with queries from the public and customers Collect and register payments Coordinate with finance Ensure knowledge of staff movements in and out of organization Provide general administrative and clerical support Prepare correspondence and documents Receive and sort mail and deliveries Schedule appointments Maintain appointment diary either manually or electronically Organize conference and meeting room bookings Co-ordinate meetings and organize catering Monitor and maintain office equipment Control inventory relevant to reception area Tidy and maintain the reception area Greet and welcome guests as soon as they arrive at the office Direct visitors to the appropriate person and area Answer, screen and forward incoming phone calls Ensure reception area is stocked with all necessary stationery and material (e.g. pens, forms and brochures) Provide basic and accurate information in-person and via phone/email Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges) Order front office supplies and keep inventory of stock Update calendars and schedule meetings Keep updated records of office expenses and costs Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing Treat staff with respect and in a professional way Maintain student records Administer medications in accordance of ECED policies and procedures Supervise other office staff Treat children and family members with dignity, compassion and respect.
