Job Description

Organization Background:
Books, Brushes & Bands for Education (BBB4E) is a Hammond-based non-profit organization that has served the community since September 12, 2000. Focused on lifelong learning, our programs serve students from any zip code and require no formal auditions or experience. From weekly after-school choral and band classes for students 5-17 to quarterly literary and visual arts projects for participants of all ages, programs also include the Midwest Adult Choir for ages 18+.
Job Description:
The Program Manager connects lifelong learners to BBB4E's art education programs. The Manager is the primary person responsible for ensuring a quality experience for the students and artist educators participating in BBB4E programs. The Manager is responsible for assisting with recruitment and outreach of new students and volunteers, keeping participants updated on class details and upcoming events. This includes ensuring families are aware and meet payment deadlines through printed and electronic statements. To recruit students, the Coordinator manages relationships with educational partners, including the School City of Hammond and the Hammond Public Library. This position has room for growth depending on experience and enrollment numbers in the programs.
Objective:
Provide a safe and fun learning environment for all students and families seeking opportunities in literary, visual, and music education. Work with families from all backgrounds to provide a positive, respectful experience. Solve issues related to student participation, payment plans, and other class challenges. Develop and facilitate positive relations between BBB4E and the communities of NWI.
Responsibilities:
Serve as primary class liaison and report any problems to the Managing Director. Supervise weekly programs to ensure that classes run smoothly, Arrive for classes early, prior to the arrival of families and instructors, for setup Take attendance as students arrive and contact families if students are late Ensure that all participants respect the class site and that positive relations are maintained with families, students, and instructors. Communicate with class sites regarding class schedules, logistics, and updates. Regularly communicate with families to update them of any changes to classes, events, student and family fundraisers, or performances. Conduct regular surveys to gather feedback from families, volunteers, and other stakeholders Collect and record tuition payments from participants by sending electronic or paper statements Oversee day-to-day operations of the organization, including answering inquiries and interacting with families, volunteers and the general public. Manage volunteer base by inputting new volunteer info, updating records, and communicating volunteer opportunities, including the Book Brigade Ambassadors Group Actively engaging in the NWI community as a BBB4E representative to assist in the recruitment of new students and community partners. Schedule regular outreach efforts via office phone calls, emails, and personal contact to engage with parents and community members Additional Support Preparing a monthly Board Report with tuition and recruitment updates. Help plan and accomplish BBB4E events, including student performances, Book Brigade activities, fundraising events and additional community programs, as they are scheduled. Assist with updating social media and website content to inform prospects and participants Take pictures or videos as needed during classes with the organization's cellphone
Qualifications:
Minimum Associate's Degree, Bachelor's preferred. Ability to read, write, and speak Spanish is a plus, but not required. Experience working with K-12 students and/or family services. An Early Education Certificate is a plus. Must have basic cash-handling experience. Must be a self-starter and able to work independently. Experience with remote/mobile credit card processing is a plus. Experience with CRM is a plus, but not required.
Job Type:
Part-time, 20-35 hours per week Hours & Schedule The Program Manager is a part-time hybrid position that requires flexibility and independence. Fall 2026, Midwest Youth and Adult Choir classes take place Monday evenings from 5 pm - 8 pm. Other hours are flexible between Monday-Thursday 10:00 am- 5:00 pm. Some weekends are required.

Expressed willingness to participate in continued learning to further develop skills related to the Community Engagement Coordinator role.

Starting at $18 an hour, part-time, 25 hours/week
