Primary Description The Executive Assistant to the Senior Pastor serves as a trusted partner to the Senior Pastor, providing high-level administrative, organizational, and strategic support to advance the mission and vision of Northland Church. This role functions as the primary coordinator for the Senior Pastor's office, managing priorities, communications, schedules, projects, and relationships while ensuring operational excellence and effective execution across the Senior Pastor's sphere of influence. The Executive Assistant serves as a key liaison between the Senior Pastor, staff leadership, governing bodies, ministry partners, and external stakeholders. This position requires exceptional discretion, emotional intelligence, organizational skill, and a commitment to supporting the Senior Pastor's leadership and effectiveness.

Competencies Executive Support Manage and steward the Senior Pastor's calendar, schedule, and priorities. Coordinate meetings, appointments, travel arrangements, speaking engagements, and ministry events. Anticipate needs, identify potential conflicts, and proactively resolve scheduling challenges. Prepare agendas, briefing materials, meeting notes, and follow-up action items. Communication Management Serve as the primary point of contact for the Senior Pastor's office. Draft, edit, and manage correspondence, reports, presentations, and communications on behalf of the Senior Pastor. Facilitate communication between the Senior Pastor and staff, elders, ministry leaders, donors, and external partners. Ensure timely responses and appropriate follow-up to requests and inquiries. Project & Strategic Coordination Assist in coordinating strategic initiatives, leadership projects, and organizational priorities. Track progress on key assignments and ensure accountability for deliverables. Support annual planning processes, leadership retreats, vision-casting events, and strategic meetings. Maintain project timelines and communicate status updates to relevant stakeholders. Leadership Team Support Coordinate meetings and logistics for the Senior Executive Team, C-Suite Team, Elder Board, and other leadership gatherings as assigned. Prepare meeting materials and maintain records of decisions and action items. Support the implementation of organizational priorities by facilitating communication and follow-through. Administrative Operations Develop and maintain efficient systems for file management, record keeping, and office operations. Manage confidential documents, reports, and organizational records. Assist with budget tracking, expense reporting, and administrative processes as needed. Coordinate special events, ministry functions, and hospitality arrangements for the Senior Pastor's office. Relationship Management Build and maintain positive relationships with staff, congregants, ministry partners, community leaders, and guests. Represent the Senior Pastor's office with professionalism, warmth, and excellence. Help foster a culture of collaboration, trust, and healthy communication throughout the organization. Confidentiality & Stewardship Exercise the highest level of discretion when handling confidential information. Demonstrate sound judgment in managing sensitive personnel, pastoral, financial, and organizational matters. Minimum 3-5 years of executive administrative support experience, preferably supporting senior-level leadership. Exceptional organizational, project management, and time-management skills. Strong written, verbal, and interpersonal communication skills. High proficiency in Microsoft Office, Google Workspace, and digital collaboration tools. Proven ability to manage multiple priorities and deadlines simultaneously. Demonstrated ability to handle confidential information with discretion and professionalism. Preferred Experience working in a church, ministry, nonprofit, or mission-driven organization. Experience supporting executive leaders, boards, or senior leadership teams. Familiarity with church governance, ministry operations, and organizational planning processes. Event planning and project management experience.
