Office Assistant 77003 JOB SUMMARY The Office Assistant is the first person residents and visitors meet when entering the building. Greeting residents and visitors in a way that is both warm and effective/professional is important to our mission of offering a supportive community to residents and making a first impression to visitors/guests. The Office Assistant creates a welcoming and tidy atmosphere that encourages a prospective tenants desire to reside at the property and conveys to all who enter the building our high standards of professionalism and attention to detail. Good interpersonal skills, including diplomacy and flexibility, are necessary to interact with residents and guests. A positive presence of authority is required to enforce Community policies. In addition, the Office Assistant will assist the Community Manager generally as needed to ensure the successful operation of the building. Some of the areas of assistance will include helping the community Manager with the monthly application intake process, managing the applicant waitlist on a daily basis, and assisting with the generation of lease contracts and lease renewal as well as the re-certification of resident eligibility. The Community Office Assistant will adhere to and be familiar with non-discrimination policies as defined by the Fair Housing Laws. Proof of COVID Vaccination is required
DUTIES AND RESPONSIBILITIES
Customer Relation Duties Interact with residents/visitors and handle complaints with diplomacy and good judgment. Work with people of diverse social, economic and ethnic backgrounds professionally. Act with sensitivity to issues facing homeless, disabled, and elderly populations. Promotion of Community events. Maintenance Duties Walk the property to conduct routine inspections of the building while on shift and properly document findings. Report damages and hazardous or emergency conditions to the Community Manager promptly. Empty trash and other light housekeeping duties. Administrative Duties Properly screen all visitors/guests who enter and leave the building. Update visitor/guest log, daily log and other front desk forms. Handle all telephone communications including answering, call routing, taking messages, etc. Enforce TAA lease contract community policies. Maintain orderliness of front entrance, lobby, and adjoining rooms/areas. Post and distribute tenant notices. Complete, accept, and follow-up on maintenance work orders. Collect rent and overnight fees and furnish residents receipt. Prepare bank deposits. Assist residents with unit lockouts and log all lockout activity. Effectively communicates with Front Desk Receptionist regarding residents activity/issues, events, community updates, resident services activities, and other pertinent information. Coordinates and communicates residents needs, requests, and resident activity (as needed) with Resident Services department. Will be responsible for the collection of applications and management of applicant waitlist. Communicates with applicants regarding application progress of application, requests missing documents, and schedules move-ins. Maintain resident lease files in proper order and assist with re-certification paperwork. Check in deliveries. Monitor security of property through surveillance equipment, property walks, and ensuring all emergency exit and security alarms are properly functioning. Report all findings to Community Manager. Other Duties Perform additional duties as deemed necessary by the community manager. QUALIFICATIONS
High School Diploma or GED Read and write English fluently Professional appearance and demeanor Good organizational skills Good verbal skills Strong customer service skills Assertiveness Ability to work with people of diverse social, economic and ethnic backgrounds Ability to work independently and exercise good judgment in problem-solving Willingness to perform varied tasks Excellent knowledge of computers, Microsoft Outlook, Excel and Word in particular
ATTENDANCE AND PUNCTUALITY
Attendance is an essential job function. This position requires the ability to work Monday-Friday during business hours. It is extremely critical that individuals be able to work their scheduled hours on a consistent basis and, if necessary, additional hours and weekend hours when required.
EQUIPMENT
Duties will require the regular use of telephones, computers, fax machines, scanners and calculators. Must have access to personal vehicle and hold a valid state driver's license and insurance.
PHYSICAL REQUIREMENTS
Must have the ability to lift moderately heavy objects up to 25lbs. And perform duties requiring extensive maneuverability and normal strength. Candidates must pass a drug screen and background check. Convictions will be reviewed on a case-by-case basis; convictions will not necessarily bar a candidate's employment. Full Time
