Job Summary We are seeking an energetic and detail-oriented Program Support Coordinator to join our team! In this vital role, you will serve as the backbone of our program operations, ensuring smooth administrative functions and excellent customer support. Your proactive approach will help facilitate effective communication, maintain organized records, and support our mission-driven services. This paid position offers an exciting opportunity to contribute to meaningful work while honing your office management skills. Duties Provides day-to-day administrative and operational support to assigned program units Reviews monthly agency credit card expenses and ensures receipts and supporting documentation are properly attached and submitted in accordance with agency procedures Reviews monthly rent assistance requests to ensure amounts match approved client leases, Fair Market Rent (FMR) requirements, and rent reasonableness standards Verifies completeness and accuracy of housing documentation, including leases, VAWA lease addendums, Fair Market Rent (FMR) documentation, and rent reasonablenes forms Ensures required housing and compliance documents are scanned, uploaded, and maintained in client files in accordance with program and recordkeeping requirements Assists with monitoring documentation compliance for housing assistance and supportive service programs Support in processing accounts payable and accounts receivable transactions related to program operations Support in preparing and processes weekly check requests, vendor payments, and monthly rent payments. Manage front desk operations, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents and records Experience Prior office experience in bookkeeping, administrative or clerical roles preferred Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Experience with QuickBooks or similar bookkeeping software is highly desirable Bilingual abilities are a plus to support diverse client needs Excellent organizational skills with keen attention to detail and time management capabilities Demonstrated phone etiquette skills and ability to handle multi-line phone systems efficiently Personal assistant or office management experience is beneficial but not required; training will be provided for specific tasksJoin us in making a difference!
