Job Description

The Town of Clinton is seeking an organized, detail-oriented, and motivated Administrative Assistant to support the Department of Human Services. This position plays a key role in assisting the Human Services Director, managing departmental operations, supporting grant activities, and maintaining efficient office workflows. The ideal candidate is proactive, adaptable, and committed to serving the community with professionalism and confidentiality. Key Responsibilities Administrative & Office Support Assist the Human Services Director with daily operations and special projects. Answer and direct phone calls; take and distribute messages. Receive, sort, and distribute incoming mail; prepare and send outgoing mail and packages. Maintain organized filing systems (digital and physical). Photocopy, scan, fax, and distribute documents as needed. Type letters, reports, and general correspondence. Check, enter, and update data; maintain department databases. Coordinate workflow within the department. Compile records and maintain logs of office activities. Grant & Financial Support Coordinate monthly staff and statistical reports for the Advisory Board. Prepare grant applications and file required fiscal reports with grantors. Assist with preparing budgets for Town, State, and Grant-funded programs. Process requisitions for payment and track related documentation. Prepare bank deposits for clinical services income, program fees, grants, and donations. Program & Operational Support Create marketing flyers for programs and department communications. Design forms and assist with office organization and process improvements. Assist staff with basic computer/software questions and troubleshooting. Monitor office supplies and reorder inventory as needed. Minimum Education and Qualifications High school diploma required. Knowledge of Microsoft Office (Word, Excel, Outlook) and general computer applications. Proficient in email and internet usage. Accurate keyboarding and data entry skills. Knowledge of office management practices and administrative procedures. Understanding of basic accounting principles. Familiarity with state and federal reporting procedures (preferred).
