We advocate for a sustainable approach on all fronts to provide long-lasting, durable buildings. Our team collectively holds experience across multiple project types, including high-end custom homes, mixed-use multifamily, commercial tenant fit-outs, and modular construction. We are currently seeking a Project Support Coordinator to join our growing team. This individual will work closely with our General Contractor and Construction Project Manager to provide day-to-day operational, administrative, and logistical support for multiple active construction projects. Position:

We are seeking a highly organized Project Support Coordinator to support our construction team by managing the countless details that keep projects moving efficiently. This individual will play an essential role behind the scenes by maintaining project documentation, coordinating schedules, organizing material orders, communicating with subcontractors and vendors, and ensuring the administrative and logistical aspects of each project are completed accurately and proactively. The Project Support Coordinator is not responsible for managing construction projects, but instead serves as a vital resource that helps our project leadership stay focused on field operations, quality, client relationships, and overall project success.

Responsibilities include:

Coordinate material orders, deliveries, and lead times with vendors and suppliers Maintain Buildertrend with project updates, photos, schedules, and documentation Organize and maintain digital project files and correspondence Prepare meeting agendas, meeting notes, and follow-up action items Assist with preparation of change orders and project documentation Maintain subcontractor prequalification files, W-9s, certificates of insurance, OSHA documentation, vendor agreements, and other compliance records required for private and public construction projects Visit active job sites to document progress, verify deliveries, and support field coordination Communicate professionally with clients, subcontractors, vendors, consultants, and municipal officials Assist with preparation and organization of bid documents, public procurement paperwork, and other project-related administrative requirements as Emerald continues to expand its public-sector work Assist with preparation, tracking, and organization of construction submittals, Requests for Information (RFIs), product data, shop drawings, and other project documentation Support compliance with public project requirements Support the construction team with day-to-day operational needs and special projects as required This is an in-office position located in Leominster, MA. In addition to project support responsibilities, this role includes opportunities to contribute meaningfully to the firm's business growth by helping to position the firm for continued expansion. Skills and Qualifications for

Consideration:

Associate's or Bachelor's degree in Construction Management, Business Administration, Architecture, Engineering, or a related field is preferred, but not required. 2+ years of experience in construction, project coordination, operations, office administration, or a related field is preferred. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and Teams) is required. Experience with Buildertrend or similar construction management software is preferred. Familiarity with Bluebeam, Adobe Suite, Asana, or similar project management software is a plus. Comfortable communicating professionally with clients, subcontractors, vendors, consultants, and municipal officials. Strong organizational and time management skills with exceptional attention to detail. Ability to prioritize multiple projects, shifting deadlines, and competing priorities while maintaining accuracy. Self-motivated with the ability to work independently, anticipate project needs, and proactively follow through on tasks. Comfortable reading construction drawings and specifications, or willing to learn. Experience preparing or coordinating construction administration documentation such as submittals, RFIs, product data, shop drawings, closeout documentation, and project records is preferred. Familiarity with permitting processes, inspections, public procurement requirements, prevailing wage documentation, or other municipal project paperwork is a plus. Comfortable visiting active construction sites and interacting with field personnel. Valid driver's license and reliable transportation are required. Highly organized with strong digital file management, meeting documentation, and record-keeping habits. Excellent written and verbal communication skills with a professional and customer-focused demeanor. Demonstrates initiative, adaptability, and a willingness to support the team wherever needed in a fast-paced, collaborative small business environment.
