Job Description
Essential Functions:
These are some of the duties for the Program Support Coordinator, but are not limited to the following: Coordinate and support the day-to-day operations of the Program Center under the direction of the Program Center Manager. Assist with daily staffing adjustments, transportation logistics, classroom organization, facility needs, and operational problem-solving to help ensure smooth program operations. Coordinate the ordering, inventory, and organization of program supplies, office supplies, equipment, and materials. Assist with planning and coordinating meetings, training, special events, and other Program Center activities. Support the implementation of operational procedures, organizational systems, and quality improvement initiatives. Provide administrative support to the Program Center Manager by preparing documents and reported as needed. Coordinate calendars, meetings, appointments, and follow-up activities. Maintain organized electronic and paper filing systems while ensuring confidentiality of employee and Team Member information. Perform general office duties, including copying, scanning, filing, distributing documents, and maintaining office organization. Monitor and track required documentation, reporting deadlines, authorizations, certifications, and other compliance-related requirements. Assist with Person-Centered Plan (PCP) preparation, documentation follow-up, and other required program records. Coordinate onboarding/ job shadowing for new Team Leaders, and training logistics for new employees. Serve as a cross-trained Program Center Team Leader who provides direct support coverage during planned absences, call-outs, vacations, or other operational needs. Support Team Members with vocational, educational, recreational, community-based, and daily living activities as assigned. Including other duties as assigned.Qualifications:
- High school diploma or equivalent.
- Minimum of two years of administrative, office support, program coordination, or related experience
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency using Microsoft Outlook, Word, and Excel.
- Ability to prioritize multiple assignments while working in a fast-paced environment with frequent interruptions.
- Strong attention to detail.
- Ability to maintain confidentiality.
- Ability to work independently while collaborating effectively with others.
- Ability to identify problems and recommend practical solutions.
- Ability to adapt to changing priorities.
- Valid driver's license with an acceptable driving record with reliable transportation
- Ability to Pass an FBI Criminal Background Check
- CPR and First Aid Certification (or ability to obtain within 30 days)
Salary:
Range from $40,000 to $44,000 annuallyResponsible To:
Program Center Manager Classification:
- Full-Time; Exempt position
- Typical schedule is Monday through Friday based on Program Center operational needs, 8:30am-4:30pm or 9am-5pm
