JOB SUMMARY
The Engineering Support Coordinator is responsible for preparing, processing, and managing contracts and procurement-related activities. This role ensures compliance with applicable regulations, maintains organized records, and coordinates contract execution. Additional responsibilities include administrative support duties.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Provide administrative support by answering and directing calls, greeting visitors, and managing correspondence. Sort and distribute mail, maintain records of communications, and ensure organized document storage. Oversee office supply procurement and inventory management. Process invoices, approve payments, and reconcile procurement transactions. Monitor and report infrastructure concerns such as streetlight outages. Maintain accurate records of excavated soil locations and submit monthly reports. Update and maintain GIS project lists to ensure accuracy in project tracking and closures. Reconcile P-Card transactions, verify purchases, and ensure financial compliance. Support engineers, finance, and procurement teams by facilitating documentation and administrative processes. Coordinate bid ads, manage Bid Net postings, attend bid events, document results, and prepare contracts post-Council approval. Ensure the finalization of contracts, obtain necessary signatures, and submit for legal execution. Prepare contract books, coordinate the pre-construction meeting, issue the Notice to Proceed, and verify invoices. Ensure the Certificate of Acceptance is sent to the contractor, archive project files, address surety inquiries, withhold payments for liens until resolved, and monitor contract insurance compliance. Other duties as assigned.
PHYSICAL AND ENVIRONMENTAL CONDITIONS
The position requires the ability to work in a standard office environment and move throughout event spaces and community facilities. Duties may include sitting, standing, walking, kneeling, reaching, twisting, and lifting. The role involves occasional lifting and carrying of items up to 25 pounds, such as event supplies or office materials. The employee must be able to set up and break down event equipment and navigate indoor and outdoor spaces, including stairs and uneven terrain.
REQUIRED QUALIFICATIONS KNOWLEDGE, SKILLS, AND ABILITIES HS
Diploma or equivalent and two (2) years relevant experience. Knowledge of contract management principles, procurement processes, and municipal policies. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and SAP. Strong organizational and analytical skills with attention to detail and accuracy. Effective communication and problem-solving abilities with the capacity to work independently. Experience in reviewing and processing legal and financial documents is preferred.
