JOB OBJECTIVE
Performs secretarial duties, record keeping functions, administrative detail and follow-up functions to assist in meeting the needs of the poor. To develop and implement programs and activities for volunteers which promote the mission and values of the Little Sisters of the Poor. Such activities are consistent with the Home's standards and philosophy, and in compliance with all regulations, codes, policies and procedures that govern the facility.
JOB STANDARDS
Must have three years experience in similar work situation. Must possess knowledge in interpersonal and interdepartmental relationships of the Home and familiarity with duties preformed by the volunteers. Must be able to direct and supervise others and work effectively with individuals and groups. Must have the ability to be creative and present ideas in written and oral form. Must have knowledge of office machine and equipment, be computer literate and be proficient in MS Office. Must posses the ability to make independent decisions when circumstances warrant such action. Possess the ability to perform the •essential job functions with or without reasonable accommodations.
JOB RESPONSIBILITIES AND DUTIES
Take charge and full responsibility for planning, implementing and directing the volunteer program suited to the needs and interests of the Little Sisters of the Poor. Interpret volunteer policy, and maintain written guidelines on procedures and regulations. Develop recruitment, orientation and training for volunteers. Provide job assignments and supervision of volunteers.

Determine aptitudes, abilities and other qualifications and talents of applicants. Ensure that duties of volunteers are clearly defined. Develop objectives for the department and routinely review departmental operations with staff to measure effectiveness in meeting objectives.

Initiate and conduct staff meetings as required an/or indicated Participate in all staff and management meetings viewing position as a contributing member of the management team. Know and follow existing lines of communication and authority.

Serves as a role model in upholding the philosophy, objectives and goals of the Home. Work effectively and cooperatively as a team member, within own department and with all departments or other disciplines Maintain confidentiality of all Residents, departmental and organizational information. Assure that all Resident rights are maintained at all times, reporting issues of concern to administration. Follow all safety, security, and exposure control policies and procedures of the facility. Serve as a liaison for volunteers between Residents, Resident families, and staff. Assist administration and supervisors in assessing activities of volunteers. Assure volunteers participate in fire and disaster drills and safety programs of the Home. Maintain contact with various community agencies as they relate to services for the Residents. Provide for departmental supplies within the budget of the department.

Strive for optimum use of supplies and materials; keeping in mind cost and budget limitations. Assume responsibility for housekeeping chores within the department and assigned areas. Assist and guide administration in maintaining a healthy and vigorous Volunteer program. Receive and follow administrative schedules/instructions from your supervisor and as outlined in our established policies and procedures. Type and/or use computer, prepare files and distribute correspondence, reports, statements, minutes of meetings, agendas, etc. Type and prepare confidential reports, statistical and financial data as directed. Proofread and correct letters, drafts, reports for grammar, punctuation, spelling etc. Sort, distribute, and route incoming mail to appropriate residents, departments and/or personnel. Assist in establishment and maintenance of an adequate record filing system. Perform administrative requirements such as completing necessary forms, reports, etc. Schedule appointments, process mail, answer phones. Perform admitting, reception, telephone and/or switchboard duties as necessary. Maintain confidentiality of all pertinent resident, staff, or corporate information and assure resident rights are protected. Perform unscheduled administrative tasks as directed. Ensure administrative functions are carried out promptly for an efficient operations. Assist in standardizing the methods in which work is accomplished. Observe dress and conduct codes, including wearing identification badge. Meet attendance standards as established and provide proper notice of absence. Will not make modifications, additions, or deletions to computer hardware or software without permission of the province.

Will adhere to software licensing agreements.
WORK SETTING/ENVIRONMENT
Work is performed primarily indoors but at times may be required to accompany Residents on scheduled outings. Work environment is well lighted, clean and suitable to tasks performed. Temperature control standards are the same that govern a skilled care licensed facility.
EQUIPMENT OPERATED
Wheelchairs, electrical appliances, zerox machine, motor vehicle, etc.
PHYSICAL AND COGNITIVE REQUIREMENTS TO PERFORM THE ESSENTIAL JOB FUNCTIONS
Able to lift and carry objects more than 20 lbs. Able to push, pull, twist, bend and perform stretching movements without limitations. Able to perform simple motor skills such as standing, walking, sitting, etc. Able to perform simple manipulative and fine motor skills such as: writing Able to remember simple and multiple tasks and assignments given to self and others ranging from short to long periods of time. Must be able to push occupied wheelchairs. Must have adequate hearing to receive verbal instructions, answer phone calls and communicate effectively with Residents and others in English. Must have the emotional stability to deal effectively with stress created by Residents' illnesses. disabilities and the aging process;working cooperatively as part of the health care team. Must be able to set up equipment, materials and supplies. Must be able to conduct small group and individual meetings
