Job Description
POSITION SUMMARY
The Harris Center for the Arts is seeking a Volunteer Coordinator to supervise the Harris Center Volunteer Program. The Volunteer Coordinator is responsible for recruiting, training, scheduling, and organization of volunteers and managing all aspects of the volunteer program. The Volunteer Coordinator also supervises volunteers and may also work as a House Manager. The Harris Center for the Arts, Folsom Lake College, is part of the Los Rios Community College District and managed by VenueTech Management Group. The ideal candidate for the Volunteer Coordinator position will be team oriented, self-motivated, polite, and professional. This candidate will also be comfortable handling complaints as well as difficult or unhappy patrons and/or volunteers. In addition, they will have experience working with the public. Experience in a theatre and/or event production environment is preferable. The individual in this position must be passionate about providing excellent customer service, working independently, and problem solving.ESSENTIAL DUTIES AND RESPONSIBILITIES
include the following. Other duties may be assigned. Under the supervision of theCenter Manager and Operations Manager:
- Coordinate and schedule all volunteer needs for Center operations.
- Work directly with Event Manager to determine number of volunteers for each show/event.
- Assign volunteers for all shows/events with consideration of limited duties.
- Act as the point person for all volunteer correspondence.
- Maintain a comprehensive and current volunteer database.
- Maintain and track volunteer hours.
- Schedule and conduct ongoing volunteer training and orientations.
- Oversee volunteer recruitment including the student volunteer program.
- Maintain an up-to-date Volunteer Handbook.
- Plan and produce all volunteer appreciation events.
- Build all shows/events in volunteer management software for volunteer sign-ups.
- Establishing monthly event/show calendars in volunteer software program.
- Preparing volunteer assignments for each show and event.
- Tracking and entering volunteer service hours.
- Preparing and responding to email and phone communications.
- Coordinating volunteer appreciation events.
- Assisting advancing show/event details to front of house staff.
MARGINAL DUTIES
- Alert House Managers if a volunteer will be missing an upcoming scheduled shift.
- Coordinate with Harris Center Membership Program on special member events.
- Interface with Center Manager and Operations Manager on special needs or concerns.
- Attend quarterly Front of House meetings and present pertinent volunteer information.
- Work with FLC Art Gallery staff for upcoming events and volunteer needs.
- Maintain and distribute annual volunteer consent forms.
- Keep inventory and ensure quantities of volunteer equipment are regularly replenished.
- Providing follow-up to volunteers regarding shift changes.
- Consulting with House Managers on usher issues and feedback.
QUALIFICATION REQUIREMENTS

A Bachelor's degree from an accredited institution; OR an Associate's degree from an accredited institution PLUS two additional years of qualifying experience is preferred, but not required; Five years of experience in a lead or supervisory position. Three years of increasingly responsible experience in the areas related to the typical duties of the position (the required lead/supervisory experience may also be used to meet this requirement). Five years of experience is equal to 60 months of experience at 40 hours per week. Applicable part-time experience will be converted to the full-time equivalent for purposes of meeting the experience requirement.CERTIFICATES, LICENSES, REGISTRATIONS
Possess and maintain a valid California Driver's License. Able to pass a background check. Sexual Harassment Training for Supervisors provided and must be completed - certificate will be issued upon completion. First Aid/CPR a plus.SKILLS AND ABILITIES
- Background and experience in theatre or other event-related operation or other business that works directly with the general public.
- Experience working as a direct point of contact with the general public.
- Experience supervising volunteers and staff.
- Ability to multi-task and be deadline driven.
- Ability to work independently and as part of a team.
- Must be willing to work a flexible schedule that may include nights and weekends.
- Proficiency with volunteer program management software is preferred.
- Must display a positive attitude and friendly demeanor.
- Flexibility, ability to multi-task.
- Represent the College in a professional manner and support the needs of the Center and its clients.

- Interacting with Front of House staff.
- Coordinating with Center Manager and Operations Manager on Volunteer Program.
- Providing usher feedback and/or discipline.
- Coordinating volunteer appreciation events.
PHYSICAL DEMANDS OF THE JOB
Lift up to 20 lbs. without assistance and loads greater than this with assistance; occasionally exert 10 to 20 lbs. of force to lift, carry, push, pull or otherwise move objects. Regularly (2/3 or more total time) required to:- Sit on an office chair up to six hours per day.
- Use hands to finger handle or feel objects, and controls, such as those on telephones and computers.
- Talk and hear in person and on the telephone.
- Reach with hands and arms, grasp objects, push/pull file drawers of 10 to 50 pounds, twist the upper body, rotate the wrist, and use finger dexterity writing and using the computer. Frequently (1/3 to 2/3 total time) required to:
- Kneel to file.
- Squat to file. Occasionally (up to 1/3 of total time) required to:
- Lift 10 to 20 pounds from floor to desk or top of file cabinet and carry for a distance of 10 to 40 feet.
- Bend to file or retrieve an item from the floor or in a drawer.
- Stand for several minutes at a time for up to several hours per day.
- Walk the distance from office through lobby up to several times per day.
- Climb stairs.
