Position Summary The Event & Volunteer Coordinator reports to the Development Manager and is responsible for planning and executing community events while leading volunteer recruitment, engagement, and retention efforts. This role supports HCWM's mission by creating meaningful community experiences, building strong relationships with volunteers, sponsors, and community partners, and ensuring successful event operations. The ideal candidate is highly organized, proactive, and passionate about serving the Hispanic community, with the ability to manage multiple projects in a fast-paced, mission-driven environment. Responsibilities Event Planning & Execution
- Coordinate all aspects of HCWM community events.
- Develop and manage event timelines, work plans, and project schedules.
- Coordinate event logistics, permits, vendors, entertainment, equipment rentals, and site plans.
- Maintain event budgets and expense tracking.
- Serve as on-site event lead before, during, and after events.
- Conduct post-event evaluations and provide recommendations for improvement.
- Maintain event records, contracts, vendor databases, and planning documents. Volunteer Program Management
- Recruit, screen, onboard, train, and retain volunteers.
- Develop annual volunteer recruitment strategies.
- Maintain volunteer database and records.
- Coordinate volunteer scheduling and assignments.
- Ensure appropriate volunteer coverage for programs and events.
- Develop volunteer recognition and appreciation initiatives.
- Build relationships with partners to increase volunteer engagement.
- Track volunteer hours and prepare reports. Administrative Responsibilities
- Maintain accurate event and volunteer records.
- Prepare event reports, volunteer reports, and outcome metrics.
- Utilize CRM and database systems to track participation and engagement.
- Assist with communications related to events and volunteer opportunities.
- Support fundraising and development initiatives as needed. Qualifications Required
- Associate's degree required (Bachelor's degree preferred) in Event Management, Communications, Marketing, Nonprofit Management, Public Relations, Business, or related field.
- Minimum of 2 years of experience coordinating events, volunteer programs, community engagement initiatives, or project management.
- Strong organizational and time-management skills.
- Excellent written, verbal, and interpersonal communication skills.
- Ability to work evenings and weekends as required for events.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Valid driver's license and reliable transportation.
- Bilingual in English and Spanish required. Physical Requirements

- Ability to stand and walk for extended periods during events.
- Ability to assist with event setup and breakdown.
Work Schedule This is a full-time, onsite position with a Monday to Friday core schedule (9am-5pm). The Events and Volunteer Coordinator is expected to maintain a flexible work schedule to deliver event coordination within the community, outside of standard business on occasion as needed. Evening and occasional weekend events may also be required to support the HCWM team and perform other duties as assigned.
