Job Description

The Coordinated Services Specialist provides individualized assistance for households experiencing challenges with economic self-sufficiency. In consultation and partnership with the Community Assistance Director and Assistant Director, the Coordinated Services Specialist will support the implementation, administration and facilitation of the Community Services Block Grant (CSBG) Coordinated Services program. Key Responsibilities and Duties - 80% Community Outreach & Engagement Coordinates and supports community events and outreach activities. Represents the agency positively with residents and partner organizations. Client Intake & Service Delivery Partners with Community Assistance Director and Assistant Director to administer CSBG Coordinated Services Programs within the Community Assistance Department. Provides oversight of client referrals, processes client assistance payments and maintains budgets of various CSBG Coordinated Services Programs. Works directly with clients on eligibility and approvals of assistance. Position requires direct contact with clients to conduct client interviews to identify client needs. Conducts accurate intake and eligibility determinations. Provides respectful, client-centered service and ensures appropriate referrals based on individual needs. Communicates program requirements with clarity and compassion. Works closely with Lead Intake/Compliance Coordinator to coordinate emergency assistance. Maintains accurate, comprehensive, complete and up to date data of all inquiries into Community Assistance CSBG Coordinated Services and provides reports regularly. Cross-Program Coordination Supports collaboration across programs to support smooth referrals and consistent communication. Identifies opportunities to improve referrals and client experience. Compliance & Attention to Detail Maintains up-to-date and accurate documentation and data entry. Assists with file reviews, compliance checks, and appeals support within the Community Assistance Department. Maintains organized program files in accordance with grant and audit requirements. Understands and follows grant and audit requirements. Communication & Professionalism Demonstrates effective verbal and written communication skills. Handles confidential information with discretion and professionalism. Manages sensitive situations with patience and respect. Technology & Data Skills Uses electronic case management and office systems efficiently. Learns new databases and procedures quickly. Additional Responsibilities and Duties - 20% Supports additional departmental needs and special projects as assigned. Participates in required trainings, including state systems, Results-Oriented Management and Accountability (ROMA), and professional development. Works with Community Assistance Director and Assistant Director on reporting requirements for various CSBG/ Coordinated Services Programs. Assists Community Assistance Director and Assistant Director in maintaining CSBG Organizational Standards, and CSBG Policy and Procedures. Strong computer and data entry skills with a high level of accuracy. Ability to engage in outreach and build partnerships. Ability to assess needs and deliver excellent customer service. Ability to manage conflict using effective strategies. Ability to maintain confidentiality and act with integrity and professionalism. Ability to work independently while following established procedures. Effective time management and ability to meet deadlines in a fast-paced environment. Ability to monitor, track and provide reports on program budgets. Willingness to travel locally for training, outreach, and community events. Ability to legally operate a motor vehicle in the state of Ohio. Education & Experience Associate's degree in social work or a related field preferred. 2 - 3 years of experience working in an office or human services setting preferred. Prior experience in community action, human services, or nonprofit environments strongly preferred. Physical & Work Requirements Ability to lift up to 50 pounds. Prolonged periods of sitting, standing, and working on a computer. Regular bending, stooping, walking, and dexterous tasks. Must be able to express and exchange information clearly and concisely. Flexible schedule required, including occasional evenings for community events. Willingness to travel locally for training, outreach, and community events. Ability to pass a criminal background check and drug test. Reliable transportation, valid driver's license, and auto insurance with acceptable driving record required.
