The Special Education Administrative Assistant provides clerical, organizational, and compliance support to the Special Education Department and Central Office Administrative staff. This position plays a critical role in maintaining accurate records, supporting state and federal reporting requirements, and ensuring adherence to timelines and procedures under the Individuals with Disabilities Education Act (IDEA) and Arkansas Department of Education (ADE) guidelines.Position Description:
Maintain and organize confidential special education student records. Prepare, submit, and track medicaid claims for therapies, personal care, etc. Monitor and track compliance timelines (IEPs, evaluations, reevaluations). Assist with preparation and distribution of special education documents and notices. Schedule and coordinate IEP, evaluation, and eligibility meetings. Support data entry and reporting in APSCN and other required systems. Assist with state and federal reporting requirements. Communicate effectively with staff, parents, and outside agencies. Provide clerical support to the Director of Special Education and department staff. Ensure accuracy and completeness of documentation for compliance purposes. Maintain/file all district inventory. Maintain and organize all district Professional Development through ESCworks. Assist in answering phone calls for the central office and direct information to the appropriate parties. All other duties as assigned by the Superintendent or designee.QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.EDUCATION AND EXPERIENCE
High school, plus specialized schooling and/or on the job education in a specific skill area; e.g. clerical/administrative, proficiency in Microsoft and Google, knowledge of IDEA processes and timelines, etc, plus 3 years related experience and/or training. Or equivalent combination of education and experience. Working Environment Occasional lifting, carrying, pushing, and/or pulling; and some fine finger dexterity. Generally the job requires 70% sitting, 30% walking/standing. This job is performed in a generally clean and healthy environment.Position Type:
